Description
The position is responsible for developing, publishing, and maintaining workforce schedules that support operational demand, staffing requirements, and service continuity. It ensures accurate roster management, shift planning, rest-day scheduling, and workforce allocation while aligning with approved workforce plans and operational requirements. The role works closely with Workforce Management, Operations, Learning & Development, and HR teams to ensure workforce readiness, schedule compliance, and optimal staffing coverage across all sites and shifts.
KEY RESPONSIBILITIES
You will:
- Develop, publish, and maintain workforce schedules by site, shift, team, role, and employee based on approved staffing plans and operational requirements.
- Plan and assign shifts, rest days, break schedules, lunch schedules, training blocks, and workforce allocations to ensure optimal coverage and compliance.
- Monitor and manage schedule changes including leaves, overtime, shift adjustments, training schedules, roster updates, and workforce movements.
- Validate schedule changes to ensure coverage requirements, compliance standards, and operational targets are maintained.
- Identify potential staffing gaps, overstaffing scenarios, and schedule conflicts before publication and recommend appropriate solutions.
- Coordinate with Workforce Management, Real-Time Analysts, Site Leads, and Operations teams to ensure schedules align with forecasted demand and workforce requirements.
- Maintain schedule records, version controls, approval logs, and documentation to ensure accuracy and audit readiness.
- Generate schedule reports, roster summaries, rest-day plans, coverage analyses, and workforce scheduling data for operational stakeholders.
- Support workforce planning initiatives by aligning scheduling activities with hiring plans, onboarding schedules, training requirements, and business growth projections.
- Contribute to continuous improvement initiatives by enhancing scheduling processes, tools, reporting methods, and workforce allocation practices.
QUALIFICATIONS & REQUIREMENTS:
- You must have a bachelor’s degree in Business Administration, Operations Management, Industrial Engineering, or a related field.
- You must have at least 2–4 years of experience in workforce scheduling, workforce management, operations planning, or a similar role.
- You must have experience supporting BPO, contact center, shared services, or other high-volume operational environments.
- You must have strong knowledge of workforce scheduling concepts including shift planning, staffing coverage, rest-day management, break scheduling, overtime planning, and workforce allocation.
- You must be proficient in Microsoft Excel, Google Sheets, workforce management systems, and scheduling tools.
- You must have strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
- You must have the ability to interpret staffing requirements and translate them into practical workforce schedules.
- You must have strong communication and stakeholder management skills to coordinate effectively with Workforce Management, Operations, Learning & Development, and HR teams.
- You must be capable of managing multiple schedule changes, competing priorities, and workforce requirements within a fast-paced environment.
- You must demonstrate strong ownership, accuracy, documentation discipline, and the ability to proactively identify scheduling risks before they impact operations.
