Description
Provides executive support, working closely with the Dean and all faculty of the Graham School of Business (GSB) with complex administrative responsibilities. Contribute to project work in the general office of the GSB as required. Assist the Dean and all GSB faculty in the delivery of available programs and services; provide assistance efficiently; manage calendars and associated tasks; manage external contacts, activities and communications to facilitate co-ordination and outreach as appropriate to the role and in support of relationship and business goals with both internal and external stakeholders. This position is the face of the Graham School of Business to those who visit or contact the Dean’s office (faculty, staff, students, and external constituents and businesses). The individual will assist the Dean and all GSB faculty with special projects and initiatives including fundraising, grants, and enrollment activities.
OUTCOME:
Contribute to the success of the Graham School of Business, serving as a positive and productive member of the school and professional representative of the school when communicating on behalf of the Dean.
- Assist the Dean and all faculty of the Graham School of Business in general office functions 40%
- Record spending and other financial information including spreadsheets, for Chrome River 5%
- Assist with student inquiries, handle incoming phone calls, mail, for Graham School of Business 5%
- Assist with planning and organizing events, meetings, travel, workshops/seminars 20%
- Schedule appointments as needed for the Dean and related parties 5%
- Assist with special projects and programs as needed on behalf of the school 15%
- Create, monitor and file correspondence and required follow-up for Dean and all GSB faculty 10%
- High school diploma required; college degree preferred
- Minimum 5 years administrative assistant/general office experience, preferably in an academic and/or executive setting
- Excellent verbal and written skills.
- Complete tasks within deadlines; maintain steady decision-making under tight timelines.
- Strong interpersonal skills with a focus on delivering exceptional customer service to administration, staff, faculty, students and community including high-caliber external professionals, donors and board members.
- Ability to discern and maintain confidential information.
- Positive and courteous demeanor that fosters a collaborative and supportive work environment day-to-day and especially in high-profile situations.
- Computer efficiency in Microsoft Office including Word, Excel, PowerPoint, Publisher and related tools.
- A proactive and ambitious approach to seeking and completing projects, tasks and initiating processes.
- A strong work ethic and desire for professional growth including the ability to work constructively with minimal supervision and under their own initiative and instinct instead of through instruction or supervision.
- Ability to handle and work under constant interruption.
- Deliver materials to various offices around the building and to attend meetings to provide administrative or event support as required.
- Maintain cleanliness and organization of the mailroom, ensuring supplies are consistently stocked.
