Baker's Bay Golf & Ocean Club is seeking a Purchasing Clerk to join the Purchasing & Logistics Department.The Purchasing Clerk is responsible for the day-to-day sourcing and purchasing of supplies, goods and
equipment for all departments. The Purchasing Clerk will work closely with established vendors and freight
companies to ensure all items purchased arrive in a timely manner.
. RESPONSIBILITIES:
• Assist with managing vendor relationships for our Culinary and F&B partners, track performance, and flag inconsistencies. • Efficiently track and secure purchasing documents, help build smooth work routines, follow up with internal teams and external partners and ensure all processes are followed correctly to reduce errors. • Support invoice reconciliation for shipping and keep the conversation flowing between departments and shipping timelines. • Make approved purchases and reconcile monthly spending in coordination with the COO's Executive Assistant. • Thoroughly reconcile vendor statements and ensure full alignment. • Track invoices from purveyors that need amending or haven't been reconciled by the AP Finance team. • Accurately assign invoices to the correct GL account codes. • Assist with training new teammates in the purchasing process and record system. • Assist with third-party logistics coordination and help direct shipping companies to established vendors. • Keep accurate files for everything relevant to Purchasing & Logistics — permits, signed packing slips and invoices.
QUALIFICATIONS & SKILLS: • A high school diploma required. • Prior experience in warehousing, distribution, receiving, or warehouse transportation is a plus. • A self-starter attitude and takes initiative. • Excellent communication skills both written and verbal. • Superb networking abilities. • Computer knowledge including inventory software and Microsoft Office — Excel, Word and Outlook. • A valid Health Certificate.
