PURPOSE

The HR Leave Specialist administers and coordinates employee leaves of absence across the university, including Family and Medical Leave Act (FMLA), parental leave, paid time off (PTO), disability leaves, state-mandated leaves, and other university-sponsored leave programs. This position ensures compliance with federal, state, and university policies while providing timely, professional support to faculty, staff, and departmental administrators. The Leave Specialist also supports the processing of employee separations and prior state service actions in accordance with applicable university and state regulations.

DESCRIPTION

Functional Area 1:   Leave Administration

Percent Effort: 70%

  • Assist with the intake, tracking, and coordination of employee leave requests, including FMLA, short- and long-term disability, military leave, and other applicable leave programs; coordinate with appropriate stakeholders regarding ADA accommodation-related leave matters.

  • Review leave eligibility and supporting documentation; communicate leave rights, responsibilities, requirements, and timelines to employees.

  • Serve as a primary point of contact for faculty and staff regarding leave benefits, policies, and processes.

  • Enter, maintain, and audit leave-related records in Workday and other tracking systems, ensuring accuracy, confidentiality, and appropriate documentation.

  • Generate leave-related reports and assist with compliance audits, recordkeeping, and data collection efforts.

  • Collaborate with Human Resources Business Partners, Payroll, Benefits, and department managers to support employee leave transitions and facilitate smooth return-to-work processes.

  • Maintain current knowledge of federal, state, and university leave laws, regulations, and policies to ensure consistent and compliant administration.

  • Manage multiple leave cases simultaneously while meeting deadlines and maintaining a high level of accuracy and customer service.

  • Manage Workers' Compensation claims in compliance with Texas A&M University System (TAMUS) Office of Risk Management requirements. Coordinate employee injury reporting through the Origami incident reporting system, monitor claims from initial report through resolution, and serve as the primary liaison among injured employees, supervisors, TAMUS Risk Management, medical providers, and other stakeholders.

  • Coordinate workers' compensation for leave-related activities and support return-to-work processes in accordance with applicable laws, regulations, and university policies.

 

Functional Area 2: Separations

Percent Effort: 15%

  • Process employee separations in accordance with university and state policies, ensuring accurate and timely offboarding.

  • Coordinate with Human Resources Business Partners, Payroll, Benefits, and department administrators to manage final pay, leave accrual payouts, benefits-related actions, and required documentation.

  • Maintain and audit separation records to ensure data integrity, accuracy, and policy compliance.

  • Support departments and employees in navigating separation procedures and respond to related inquiries.

  • Update and maintain employee records in Workday related to separation and termination processing.

Functional Area 3: Prior State Service

Percent Effort: 10%

  • Review and process prior state service verification requests and supporting documentation.

  • Coordinate with state agencies and other public institutions to verify prior employment and determine applicable service credit.

  • Maintain accurate records of verified prior state service to ensure proper application of leave accrual rates, longevity-related benefits, and other service-based entitlements.

  • Provide guidance to employees and departments regarding eligibility requirements, verification processes, and the impact of prior state service on benefits.

  • Ensure compliance with university and state regulations governing recognition of prior state service.

Functional Area 4:  Additional Duties

Percent Effort: 5%

  • Support Human Resources Operations initiatives, projects, and process improvement efforts.

  • Assist with HR audits, records management, compliance reviews, and reporting activities.

  • Provide backup support for other HR functions during peak periods, employee absences, or special projects.

  • Participate in system testing, implementation activities, and process documentation related to Workday and other HR systems.

  • Attend training and professional development activities to maintain and enhance job knowledge.

  • Perform other job-related duties as assigned.

 

QUALIFICATIONS

  • Bachelor’s degree.

  • One (1) year of experience in human resources, benefits administration, leave administration, customer service, administrative support, or a related field.

  • Basic knowledge of federal and state leave laws and programs, including FMLA, ADA, disability leave, workers' compensation, and other applicable regulations.

  • Strong verbal communication, customer service, and interpersonal skills.

  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and case-related documentation.

  • Ability to handle confidential and sensitive information with professionalism and discretion.

  • Ability to establish and maintain effective working relationships with individuals at all levels of the organization.

  • Intermediate skills in Microsoft Office applications and business systems.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in Human Resources, Business Administration, Public Administration, or a related field.

  • Experience administering employee leave programs, benefits processes, or disability-related leave coordination.

  • Experience with Workday or another Human Capital Management (HCM) system.

  • Experience working in higher education, public sector, or customer-focused environments.

  • Working knowledge of workers’ compensation and leave coordination practices.

  • SHRM-CP, SHRM-SCP, PHR, or working toward certification.

  • Experience administering workers' compensation claims, leave programs, disability-related leave coordination, or return-to-work programs.

  • Working knowledge of Texas workers' compensation processes and leave coordination practices.

SALARY: up to $44,000/annually, approximately

  • up to $3,666.67/monthly

This position may be considered for a hybrid schedule upon successful completion of initial training and onboarding phase. Approximately, 6-month period.

NOTE: Employment may be impacted by the Presidential proclamation issued on September 19, 2025 and the moratorium issued by Texas Governor Abbott on January 27, 2026.
