Job Description
The Client Services Specialist serves as a primary relationship manager for existing clients and plays a critical role in ensuring an exceptional client experience. This position is responsible for managing ongoing client service needs, preparing for client meetings, coordinating follow-up activities, maintaining workflow systems, and supporting advisors in delivering comprehensive wealth management services. The ideal candidate is client-focused, highly organized, detail-oriented, and committed to delivering proactive, responsive service.Responsibilities and Time Allocation – Will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.
Client Relationship Management:
Serve as the first point of contact for client inquiries via phone, email, and secure messaging.
Provide exceptional service and support to clients, ensuring timely responses and issue resolution.
Build positive relationships with clients and support the firm's commitment to delivering a high-touch client experience.
Coordinate client communications and follow-up activities.
Client Onboarding:
Facilitate the new client onboarding process from initial engagement through account setup.
Create and configure client access to secure client portals and technology platforms, including OmniView.
Prepare and send welcome packages, onboarding instructions, and required client communications.
Track onboarding progress and ensure all required documentation is completed accurately and promptly.
Coordinate with advisors and operations staff to ensure seamless onboarding experience.
CRM Administration & Data Management:
Maintain accurate and up-to-date client records within the CRM system.
Enter and update client information, meeting notes, service activities, and workflow tasks.
Monitor data integrity and conduct periodic audits of client records.
Support workflow management and help ensure client service requests are completed on time.
Generate reports and assist with tracking client service metrics.
Client Meeting Preparation & Follow-Up:
Prepare for client meetings by gathering required information, generating reports, and preparing necessary forms and documentation.
Coordinate meeting logistics and ensure advisors have all relevant materials prior to meetings.
Document meeting notes, action items, and client requests.
Manage post-meeting follow-up activities and ensure all outstanding items are completed accurately and on time.
Track progress of client service requests and communicate status updates as needed.
Qualifications:
Required
Minimum 2 years of experience in the financial services industry.
Minimum 2 years of client service or relationship management experience.
Excellent verbal and written communication skills with the ability to explain complex topics clearly.
Strong time management, organizational, and prioritization skills.
Ability to work independently while managing multiple deadlines and responsibilities.
Demonstrated attention to detail and commitment to quality.
Ability to maintain confidentiality and exercise discretion with sensitive client information.
Preferred
Experience working within a wealth management, financial planning, or investment advisory environment.
Familiarity with CRM systems and workflow management tools.
Intermediate proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Strong technical aptitude and ability to learn firm-specific software and systems.
Experience supporting client account maintenance and investment operations.
