Job Description Summary
The Document Management Program Leader oversees the integrity and effectiveness of the Integrated Management System (IMS). In this role, you will lead the implementation of strategic processes designed to drive continuous improvement in the adequacy, management, and adherence of controlled documentation. You will serve as the primary subject matter expert and process owner, ensuring the full lifecycle integrity of our documentation from initial creation and active use to obsolescence. This position is critical to bridging the gap between regulatory compliance and operational efficiency. Roles and Responsibilities
Document Lifecycle & Governance
- End to End Document Lifecycle Management: Serve as the Responsible Owner of controlled documentation that manages the full document lifecycle from initial drafting and active use to adequacy reviews, obsolescence, and final removal.
- Document Hierarchy & System Inventory: Preserving the integrity of the GVH document hierarchy, including maintaining the document numbering system, the nuclear procedure’s portal index, and the BuildSmart data forms system inventory.
Process Oversight & Consultation: Act as a subject matter expert providing guidance on the document control process, hierarchy and controlling requirements. Serves as Issuing Authority overseeing workflows processing to meet process requirements.
Compliance
- Act as a primary point of contact for internal and external audits to demonstrate full compliance with 10 CFR 50 Appendix B, Criterion VI (Document Control) ensuring all quality related documentation and records are maintained, controlled, and accessible.
- Proactive Compliance Monitoring: Manage the 90-day PAR monitoring cycle. Proactively partner with Responsible Owners to ensure timely adequacy reviews, manage escalations to leadership, and initiate Condition Reports (CRs) for overdue documentation to ensure process alignment.
- Process Monitoring: Monitor expiration dates for Temporary Instructions and executive/operational directives to ensure all documentation remains active and compliant.
- Access & Security Management: Administer access control for the SharePoint repository, auditor specific repositories, and the “BuildSmart Charts” on the nuclear procedure portal.
Training & Performance Enablement
- Curriculum Development: Design and maintain training programs for various roles within the document control process.
- Resource Creation: Develop and update supporting documents such as job aids, forms, templates, guides, and educational materials that support the end to end controlled documents lifecycle processes.
- Standardization: Maintain the Quality Assurance (QA) Approver Matrix, ensuring periodic updates reflect current organizational changes.
Procedure Use and Adherence Ownership: Hold primary responsibility for the "Procedure Use and Adherence" common procedure and its associated training.
Process Improvement & Systems Maintenance
- Drive program execution by identifying, designing, and implementing enhancements and process improvements.
- Nuclear Procedures Portal Management: Manage portal updates, communication strategies, and usability enhancements to improve the end user experience.
Required Qualifications
- Bachelor’s Degree from an accredited college/university OR 5 years of experience in document or configuration management.
- Minimum 5-years experience working in the nuclear industry
- Demonstrated experience in document control or quality management
Desired Characteristics
- Strong analytical skills with a track record of implementing process improvements.
- Proven ability to manage cross functional stakeholder relationships.
- Proficiency in document management software, SharePoint, and Microsoft Office Suite.
- Experience with training development and process auditing is highly desirable.
- Self-starter possessing strong initiative and demonstrated teamwork skills
- Excellent communication and interpersonal skills, with the ability to interface effectively at all levels of the organization

For candidates applying to a U.S. based position, the pay range for this position is between $93,500.00 and $155,900.00. The Company pays a geographic differential of 110%, 120% or 130% of salary in certain areas. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set.
Bonus eligibility: discretionary annual bonus.
