Description
The Corporate Bookkeeper is responsible for maintaining the day-to-day financial records and administrative accounting functions across multiple corporate entities. This role supports the Finance Manager and Accounting Officer by ensuring accurate bookkeeping, organized financial documentation, regulatory compliance, and efficient financial operations. The position plays a key role in maintaining accurate accounting records, supporting month-end close, and ensuring timely processing of accounts payable, banking, and internal financial transactions.
Key Responsibilities
Corporate Bookkeeping & Financial Operations
- Maintain day-to-day bookkeeping for multiple corporate entities, ensuring accurate transaction recording, general ledger coding, and account reconciliations within Xero and other accounting systems.
- Import and reconcile daily bank feed transactions, including bank accounts, credit cards, and other financial accounts.
- Process vendor invoices through BILL and ensure invoices are properly coded and entered in a timely manner.
- Prepare and process weekly accounts payable payments through BILL following established approval workflows.
- Calculate, record, and process internal chargebacks, including payroll, certified mail, screening, eCheck/check, and other shared corporate expenses.
- Prepare monthly management fee invoices, project management fee billings, and bookkeeping service invoices.
- Import and reconcile employee expense transactions from Divvy, review reimbursements, and follow up on missing receipts and documentation.
- Prepare payroll journal entries and other recurring accounting entries.
- Onboard new properties and entities into the accounting system while maintaining accurate accounting records.
- Review past-due accounts receivable related to management fees and coordinate resubmissions to AppFolio as needed.
- Reconcile bank accounts, credit cards, and balance sheet accounts to ensure timely and accurate financial reporting.
- Assist the Finance Manager and Accounting Officer with month-end close, quarterly reporting, annual audits, tax package preparation, and lender reporting requirements.

- Support process improvements and accounting automation initiatives by maintaining organized financial data and leveraging technology to improve efficiency and accuracy.
- Research and resolve accounting discrepancies while maintaining a high degree of accuracy and confidentiality.
- Banking, Compliance & Corporate Operations
- Manage daily banking activities, including check deposits, wire confirmations, ACH documentation, receipt tracking, and banking correspondence while maintaining proper internal controls.
- Process incoming mail, certified notices, and legal correspondence, maintaining accurate logs and documentation.
- Maintain corporate financial files, banking documentation, insurance records, vendor W-9s, and other compliance-related documentation.
- Coordinate with internal departments and external vendors to ensure timely processing of financial and administrative requests.
- Assist with quarterly compliance reporting and annual tax preparation support.
- Provide administrative support to the Finance and Accounting team on special projects and perform other duties as assigned.
Qualifications
- 3+ years of bookkeeping or accounting experience, preferably in a multi-entity environment.
- Experience with Xero required; experience with BILL, Divvy, and AppFolio preferred.
- Strong understanding of bookkeeping principles, account reconciliations, accounts payable, and general ledger maintenance.
- Experience processing management of fee billings, intercompany transactions, or chargeback accounting is preferred.
- High level of organization, accuracy, and attention to detail.
- Proficient in Microsoft Excel and Microsoft Office Suite.
- Ability to handle confidential financial information with discretion.
- Excellent time management and communication skills, with the ability to prioritize multiple deadlines.
