Job Description:
The Marketing Administrator will support the sales and marketing teams by managing day-to-day marketing coordination, monitoring lead channels, maintaining the marketing calendar, coordinating trade show opportunities, and assisting with general marketing projects. This position is ideal for someone who is organized, detail-oriented, proactive, and comfortable keeping multiple projects, vendors, campaigns, and deadlines on track.
This role plays an important part in making sure marketing efforts are tracked, followed up on, and executed consistently. The Marketing Administrator will work closely with leadership, sales, vendors, and internal teams to improve lead visibility, campaign execution, event preparation, and overall marketing organization.
Essential Duties and Responsibilities
Lead Channel Monitoring
- Monitor incoming leads from marketing channels, including website forms, Google Local Services, paid ads, social media, referral sources, third-party lead vendors, and other digital platforms.
- Track lead volume, response activity, lead quality, and follow-up status to help ensure opportunities are not missed.
- Communicate with sales leadership when lead channels are underperforming, lead flow changes, or follow-up concerns are identified.
- Assist with organizing lead data and reporting on marketing source performance, close rates, and campaign effectiveness.
- Review lead source accuracy and help identify tracking issues within CRM or marketing platforms.
Marketing Calendar Management
- Maintain and update the company marketing calendar, including campaigns, social media topics, holidays, seasonal pest activity, promotions, email campaigns, and internal deadlines.
- Coordinate upcoming marketing initiatives to ensure content, graphics, approvals, and launch dates stay on schedule.
- Work with leadership and vendors to gather needed information for campaigns, posts, advertisements, and customer communications.
- Track completed marketing activities and maintain records of past campaigns for future planning and reporting.
Trade Show and Event Coordination
- Research local trade shows, community events, home shows, chamber events, business expos, HOA events, and other potential marketing opportunities.
- Gather event details, including cost, attendance expectations, target audience, booth requirements, registration deadlines, and sponsorship opportunities.
- Coordinate event registration, booth setup requirements, marketing materials, promotional items, staffing schedules, and event logistics.
- Prepare event checklists and confirm that all booth materials, printed materials, and promotional items are ready before each event.
- Assist with post-event lead tracking, follow-up reporting, and return-on-investment review.
General Marketing Support
- Assist with social media coordination, including gathering content ideas, organizing photos, tracking post schedules, and submitting content for approval.
- Coordinate printed materials, flyers, brochures, mailers, door hangers, banners, promotional items, and other marketing assets.
- Support communication with outside vendors, including agencies, printers, lead providers, SEO partners, advertising platforms, and creative partners.
- Collect photos, testimonials, employee highlights, customer stories, field content, and branch updates for marketing use.
- Maintain organized digital files for logos, brand assets, campaign materials, photos, vendor information, and marketing documents.
- Support marketing reports by compiling data from advertising platforms, CRM reports, call tracking, lead vendors, and other sources.
- Assist with website updates, content requests, landing page reviews, and basic quality checks as needed.
- Help ensure marketing materials are accurate, professional, brand-aligned, and up to date.
Administrative and Cross-Functional Support
- Provide administrative support to the sales and marketing leadership team.
- Organize meetings, campaign notes, project timelines, vendor updates, and follow-up items.
- Coordinate with branch teams, sales representatives, customer service, and operations when marketing projects require local support.
- Assist with internal communication related to marketing campaigns, promotions, events, and lead generation efforts.
- Take on additional marketing-related projects and administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree in marketing, business, communications, or a related field preferred.
- Prior experience in marketing administration, sales support, office administration, event coordination, or customer service preferred.
- Strong organizational skills and ability to manage multiple projects at once.
- Excellent written and verbal communication skills.
- Comfortable working with spreadsheets, calendars, shared drives, CRM systems, and basic reporting tools.
- Ability to follow up consistently and keep projects moving without heavy supervision.
- Strong attention to detail and ability to identify missing information, tracking issues, or incomplete tasks.
- Professional, dependable, and comfortable communicating with internal teams and external vendors.
Preferred Skills
- Basic understanding of digital marketing, lead generation, and campaign tracking.
- Experience coordinating trade shows, events, or community marketing opportunities.
- Experience with social media platforms, Canva, CRM systems, Google Business Profile, or marketing dashboards is a plus.
- Ability to review marketing reports and identify trends, concerns, or opportunities.
- Comfortable working in a fast-paced environment with changing priorities.
- Strong follow-through and ability to keep leadership updated on project status.
Work Environment
This position is primarily office-based and requires regular communication with sales, marketing, operations, branch teams, and outside vendors. Some local travel may be required for trade shows, events, vendor coordination, or branch support.
