Our Client is seeking a meticulous, process-driven Operations and Logistics Coordinator to take full ownership of their order desk end-to-end. Functioning as the central operational seat accountable for moving accepted orders from initial Purchase Order to final delivery, this professional ensures that every shipment arrives accurately and on schedule. Guided by a fifteen-document Standard Operating Procedure (SOP) suite and a Pipedrive-based task system, this role is ideal for a supply chain specialist who thrives on exact process execution, mathematical accuracy, proactive freight management, and continuous workflow improvement.
Key Responsibilities
Order Desk & Production Coordination

Validates complex product specifications, quantities, carton mathematics, and Minimum Order Quantities (MOQs) prior to releasing orders to production facilities in India or Indonesia.

Generates and issues factory Purchase Orders (POs), tracks cargo-ready dates, and produces accurate packing slips matching SKUs and production lots against Certificates of Analysis (CoAs).

Coordinates prospect sample requests and maintains the master order tracker as the real-time record for shipment milestones, key dates, and order statuses.
International Freight & Logistics Management

Evaluates competitive shipping channels—comparing small parcel options against international freight forwarders—and executes competitive RFQ processes to secure optimal rates.

Calculates precise freight dimensions, including carton counts, case metrics, layer configurations, and pallet weights.

Tracks international shipments in transit, proactively resolves carrier delays, and delivers transparent, proactive updates to clients before inquiries arise.
Quality Assurance & Document Governance

Matches certificates of analysis to specific production lots, logs non-conformances or quality issues, and escalates critical decisions to leadership.

Maintains strict file architecture and digital folder structures following established naming conventions across all software platforms.

Audits and refines existing SOP documentation as operational workflows evolve, actively integrating AI-enabled software tools to maximize efficiency.
Qualifications, Skills, and Key Competencies
Required
-
Experience: 2+ years of hands-on experience in order management, supply chain operations, logistics, or international trade executed in English.

International Logistics Mastery: Demonstrated familiarity with international freight forwarders, Incoterms, customs documentation, and global shipping workflows.

Education: Degree in Business, Supply Chain Management, Logistics, or a related quantitative field.

Mathematical Proficiency: Comfort with daily mathematical calculations, unit conversions, rounding logic, and inventory reconciliations.

Software Competency: Proficiency with Pipedrive CRM, QuickBooks, Microsoft Excel, Google Workspace, and an eagerness to adopt AI-assisted productivity tools.

Language Skills: Elite written and verbal English communication skills (C1 or C2 level), equipped for professional international vendor and client management.

Contractor Status: Registered (or eligible to register) as an independent contractor in your country of residence, equipped with a high-speed internet connection and quiet home workspace.

Prior experience in packaging, paper manufacturing, consumer packaged goods (CPG/FMCG), or regulated product supply chains.

Familiarity with quality control documentation, Certificates of Analysis (CoAs), or Good Manufacturing Practice (GMP) standards.

Working proficiency in Spanish or Bahasa Indonesia.
