POSITION SUMMARY
The AP Coordinator makes sure our vendors are paid accurately and on time. The role runs the full accounts payable cycle, from receiving and matching invoices through payment. It works with Purchasing, Receiving and operations teams across our campus to resolve issues quickly. This is a hands-on role with real room to learn, grow and help improve how our AP process runs.
RESPONSIBILITIES
Invoice Processing
- Review, code and enter vendor invoices in Oracle ERP
- Perform the 3-way match (PO, receipt, invoice) and resolve differences in price, quantity or receiving
- Review employee expense reports for accuracy and get the right approvals before payment
Payments
- Prepare and process the weekly payment runs, including checks, ACH and wire transfers
- Process online bank transfers as required
- Issue stop-payments and voids as needed
Vendor Management
- Set up and maintain vendor records, including W-9 and federal ID verification
- Reconcile vendor statements and answer vendor questions
- Follow up to make sure credits are received for outstanding memos
Close, Controls & Audit
- Support month-end close, including AP accruals and reconciling the AP subledger to the general ledger
- Keep accurate AP records and documentation in line with internal controls
- Support interim and annual internal and external audits
- Assist with year-end 1099 reporting
- Other duties as assigned
SKILLS & ABILITIES
- Strong organization and attention to detail
- Proficient in Excel
- Able to manage multiple priorities and deadlines
- Clear communicator who works well across departments
QUALIFICATIONS
Education
- High school diploma or equivalent required
- Associate's or technical degree preferred
- Certification or coursework in accounting a plus
Experience
- 2+ years in accounts payable or a related accounting role preferred
- Oracle ERP experience preferred
- SOX or internal controls experience a plus
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
- Office environment - Onsite
- Ability to sit for long periods
- Vision needed to review and enter data on a computer
