POSITION: Allied Services Office Manager


LOCATION: Red Cliff Community Health Center


WAGE: $20 - $25 per hour


SUPERVISOR: Clinic Manager


THIS IS A REGULAR FULL-TIME NON-EXEMPT 


JOB SUMMARY:The Allied Services Office Manager is responsible for the daily administrative and operational management of the Allied Services department including physical therapy, chiropractic, optometry, and future occupational therapy. This position oversees office operations, scheduling, patient/customer service functions, records management, regulatory compliance, and coordination of departmental activities to ensure efficient, high-quality service delivery. The Office Manager serves as a liaison between staff, leadership, patients, vendors, and external agencies.

DUTIES AND RESPONSIBILITIES:

  1. Direct and coordinate daily office operations for Allied Services programs.
  2. Develop and implement office procedures and workflows to improve efficiency and productivity.
  3. Monitor departmental performance metrics and operational goals.
  4. Coordinate equipment maintenance, supply inventory, and purchasing activities.
  5. Ensure a high level of patient, client, and customer satisfaction.
  6. Resolve complaints, concerns, and service issues in a timely and professional manner.
  7. Support scheduling, registration, referrals, and other patient access functions.
  8. Assist with budget preparation and monitoring.
  9. Review invoices, purchasing requests, and departmental expenditures.
  10. Track productivity, revenue, and operational expenses as required.
  11. Prepare reports, correspondence, and departmental documentation.
  12. Support billing and reimbursement processes when applicable.
  13. Ensure compliance with organizational policies, accreditation standards, and regulatory requirements.
  14. Maintain accurate records and documentation.
  15. Participate in quality improvement initiatives and audits.
  16. Monitor adherence to HIPAA, patient rights, and confidentiality requirements.
  17. Assist with risk management and incident reporting processes.
  18. Serve as a liaison between Allied Services staff, leadership, providers, and external partners.
  19. Coordinate meetings, prepare agendas, and maintain meeting minutes.
  20. Facilitate communication regarding policy changes, operational updates, and departmental initiatives.
  21. Support interdisciplinary collaboration to improve patient outcomes and service delivery.
  22. SUPERVISORY AUTHORITY: None

KNOWLEDGE:

  1. Knowledge of office management principles and healthcare operations.
  2. Excellent verbal and written communication abilities.
  3. Proficiency in Microsoft Office Suite and electronic records systems.
  4. Ability to manage multiple priorities in a fast-paced environment.
  5. Strong organizational and problem-solving skills.
  6. Knowledge of HIPAA, patient confidentiality, and regulatory compliance requirements.
  7. Awareness of and sensitivity to Ojibwe culture and traditions.


QUALIFICATIONS:

  1. Associate degree in Business Administration, Healthcare Administration, Office Management, or related field, preferred.
  2. Minimum of three (3) years of office management in an allied health or rehabilitation setting required.
  3. Must have a valid driver’s license and meet eligibility for tribal insurance.

PERSONAL CONTACTS:  Considerable daily contact will be made with the general public, tribal leadership, Program Directors and staff, consultant(s), and the Tribal Community.


PHYSICAL REQUIREMENTS:  The duties assigned to this position involve bending, stooping, lifting, and carrying. Items may be placed in overhead storage or shelving.


WORK ENVIRONMENT:  All Tribal Buildings are smoke free.


TRAVEL REQUIREMENTS:  The ability to travel and attend meetings and trainings; overnight and out of town, both locally & nationally.
