The role also leverages technology, reporting, and AI-enabled tools to improve operational efficiency, enhance employee communications, and support a positive employee experience throughout the leave lifecycle.

Responsibilities:

  • Administer employee leave of absence programs, including medical, parental, family care, disability, military, statutory, and personal leaves across multiple countries.
  • Serve as the primary point of contact for employees and managers regarding leave processes, eligibility requirements, documentation, pay impacts, and return-to-work expectations.
  • Coordinate leave cases with third-party leave administrators, disability carriers, payroll, HR partners, and other internal stakeholders.
  • Manage leave intake, case tracking, documentation review, approvals, status updates, and case closure activities.
  • Maintain accurate leave records, employee communications, and case documentation in HR systems and case management tools.
  • Monitor leave timelines and ensure employee, manager, payroll, and vendor actions are completed within required deadlines.
  • Assist with workplace accommodation processes and return-to-work planning in partnership with HR and relevant stakeholders.
  • Ensure compliance with company policies and applicable federal, state, provincial, and country-specific leave disability, accommodation and employment requirements.
  • Escalate complex leave, disability, accommodation, or compliance matters to senior team members as appropriate.
  • Support audits, reporting, and leave-related metrics by maintaining data accuracy and documentation standards.
  • Identify opportunities to improve leave administration processes, employee communications, and operational efficiency.
  • Provide support on leave-related projects, system enhancements, and process improvement initiatives.
  • Partner with Benefits, Payroll, and HR teams to ensure accurate pay, benefit administration and employee deductions throughout the leave lifecycle.

Required Skills and Experience:

  • Bachelor's degree in Human Resources, Business, or a related discipline, or an equivalent combination of education and experience.
  • 3+ years of experience administering leave of absence, disability, accommodation, or related HR programs.
  • Experience administering leave and accommodation programs in a multi-jurisdictional environment.
  • Working knowledge of global leave, disability, accommodation, and return-to-work practices.
  • Experience using HR technology platforms and Microsoft Office applications.
  • Demonstrated expertise in administering leave of absence, disability, and workplace accommodation programs while ensuring compliance with applicable laws, regulations, and company policies.
  • Strong ability to manage employee cases from intake through return to work, balancing employee experience, operational requirements, and regulatory obligations.
  • Excellent communication and relationship-building skills, with the ability to effectively partner with employees, managers, HR, Payroll, Benefits, vendors, and other key stakeholders.
  • Proven organizational and case management skills, with the ability to manage multiple priorities, maintain accurate documentation, and meet critical deadlines in a fast-paced environment.
  • Strong analytical and problem-solving capabilities, including the ability to assess complex situations, identify risks, and recommend practical solutions.
  • High attention to detail and commitment to data integrity when maintaining leave records, reporting, and case documentation.
  • Experience utilizing HR technology platforms, preferably Workday, case management systems, reporting tools, and Microsoft Office.
  • Ability to identify process improvement opportunities and leverage technology and AI-enabled tools to enhance operational efficiency, employee communications, and service delivery.
  • Demonstrated sound judgment, discretion, and professionalism when handling sensitive and confidential employee information.
  • Global mindset with the ability to navigate varying leave, disability, and accommodation practices across multiple countries and jurisdictions.

Preferred Skills and Experience:

  • Experience supporting global leave programs in the United States, Canada, EMEA, APAC, or LATAM regions.
  • Experience with Workday, ServiceNow, or similar HRIS and case management platforms.
  • Familiarity with disability management, workplace accommodations, and interactive process administration.
  • Experience developing reports, dashboards, and leave-related metrics.
  • Experience leveraging AI tools, including Microsoft Copilot, ChatGPT, Claude, or other generative AI solutions to improve operational efficiency, reporting, process documentation, and employee communications.
  • CEBS, SHRM-CP, PHR, CHRP, or other relevant professional certification.
