Description
The Opportunity
The Senior Associate, Sales Operations is the engine behind our client acquisition growth, building and running the infrastructure that lets our Client Solutions team perform at its best. You will support the systems, data analytics, CRM workflows, and training frameworks that scale our reach across family offices, foundations, corporations, and ultra-high net worth individuals. This is a highly collaborative, high-visibility role for someone who is energized by building the operational backbone that supercharges a growing Client Solutions team.
Key Responsibilities
- Serve as the first point of contact for inbound leads, triaging and routing opportunities so every prospect gets a fast, strong start, and coordinating on prospect opportunities and other team projects.
- Build and maintain pipeline dashboards and standardized reporting, turning CRM and other data into insights that sharpen the team's focus and prioritization.
- Build outbound target lists, research prospects, and prepare background packets that set the stage for high-impact client outreach.
- Partner with Product and Marketing to keep the team equipped with sharp, current outreach collateral and tools that clearly showcase our value and impact, surfacing prospect and market feedback to inform the client feedback loop.
- Partner with the Managing Director to drive the Client Solutions team’s OKRs, and help build and maintain the playbooks, standard operating procedures, and internal knowledge base that keep our best practices documented and repeatable.
- Coordinate account-opening, DAF application tracking, and funding/transfer status through client handoff, and lead or support project-based work as needed.
- Own and continuously refine the CRM to power complex, relationship-driven business development, from enriching contact records and surfacing warm-intro paths to maintaining day-to-day data hygiene and record accuracy.
- Integrate business intelligence tools and dashboards with the CRM to give the team real-time visibility into prospect touchpoints, pipeline, and asset flows.
- Leverage AI and automation tools to streamline prospect research, meeting preparation, and reporting workflows, freeing the team to focus on high-value client engagement.
- Collaborate across the team to improve scalability, knowledge management, and workflow design that fuels sustained client growth.
- Partner with Legal, Finance, Investment Solutions, Client Engagement, and Client Service to streamline and accelerate the prospect-to-client transition.
- Support cross-functional initiatives with Marketing, including shared events, content calendars, and firm visibility efforts.
- Deliver regular pipeline and activity reporting to the Head of Client Solutions, keeping open initiatives visible and on track.
- Any other projects as needed.
Qualifications
- Minimum 5 years of experience in sales operations, business development support, or CRM administration within investment management, wealth advisory, private markets, philanthropy, or impact investing, and a bachelor's degree in a related field; or equivalent combination of education and experience.
- Experience building and managing CRM systems, sales infrastructure, and reporting processes that support client acquisition among institutional or private investors, such as family offices, foundations, corporations, or ultra-high-net-worth individuals.
- Experience managing a pipeline, tracking prospect and client interactions, and supporting multi-stakeholder philanthropic or investment decision processes.
- Demonstrated ability to leverage AI and automation tools to enhance client acquisition effectiveness, including prospect research, market intelligence synthesis, meeting preparation, personalized outreach, pipeline management, and workflow efficiency.
- Strong experience in CRM systems, pipeline reporting, and investor communications, with a systems-thinking approach to how data, tools, and workflows connect across the business development stack; high personal bar for data integrity, accuracy, and consistency.
- Fluency in private markets and impact investment strategies across asset classes, with the ability to engage credibly with investment professionals and clients.
- Familiarity with impact investing and/or values-aligned investment strategies and the ability to communicate impact value propositions credibly and compellingly.
- Strong interpersonal skills, including the ability to collaborate with cross functional teams.
- Proactive self-starter who anticipates needs and takes ownership without waiting for direction; strong follow-through and sound judgment in ambiguous situations, with the discretion to know when to resolve issues independently versus escalate; manages timelines with urgency and accountability.
- Collaborative mindset with a willingness to adapt and contribute across evolving team needs.
- Demonstrated ability to design, document, and continuously improve repeatable processes, standard operating procedures, and playbooks that scale beyond a single person and hold up under handoff or audit.
- Proficiency in Microsoft Word, Excel and PowerPoint. Proficiency with cloud-based collaboration tools Box and Asana preferred.
- Strong project management skills with the ability to run multiple initiatives simultaneously, track dependencies and deadlines, and prioritize competing demands with minimal oversight. Experience working in a virtual environment preferred.
- Demonstrated knowledge and interest in leveraging capital for social and environmental impact.
