At Northrop Grumman, our employees have incredible opportunities to work on revolutionary systems that impact people's lives around the world today, and for generations to come. Our pioneering and inventive spirit has enabled us to be at the forefront of many technological advancements in our nation's history - from the first flight across the Atlantic Ocean, to stealth bombers, to landing on the moon. We look for people who have bold new ideas, courage and a pioneering spirit to join forces to invent the future, and have fun along the way. Our culture thrives on intellectual curiosity, cognitive diversity and bringing your whole self to work — and we have an insatiable drive to do what others think is impossible. Our employees are not only part of history, they're making history.

This highly visible role serves as a trusted partner to the Vice President and is central to the effective operation of the executive office. The successful candidate will operate with a high degree of autonomy, discretion, sound judgment, and professionalism while managing complex priorities in a dynamic, fast-paced environment. This role is based onsite out of the McLean, VA office.

The individual must demonstrate exceptional executive presence, organizational awareness, diplomacy, and the ability to appropriately manage highly sensitive and confidential information.

The successful candidate will anticipate executive priorities and requirements, proactively identify and resolve scheduling and operational conflicts, and ensure commitments, decisions, and follow-up actions are effectively managed. This individual must be comfortable operating as an extension of the executive office and representing the Vice President professionally across all levels of the organization.

This position requires occasional (not often) nonstandard work hours and travel as required.

Key Responsibilities

  • Manage a complex and dynamic executive calendar, strategically prioritizing competing demands, resolving conflicts, and protecting the Vice President’s time against business priorities.
  • Anticipate executive needs, identify emerging issues, and proactively resolve or elevate matters requiring executive attention.
  • Coordinate complex domestic and international travel, including itineraries, transportation, lodging, schedule changes, and timely expense reporting.
  • Contribute to preparing executive-level read-ahead’s, briefing materials, presentations, agendas, correspondence and other leadership materials.
  • Coordinate executive engagements with senior internal leaders, customers, government officials, and external stakeholders.
  • Manage executive office information flow, ensuring time-sensitive information, requests, decisions, and commitments are appropriately prioritized and addressed.
  • Coordinate leadership operating rhythms, including executive staff meetings, business reviews, off-sites, leadership engagements, and other senior-level forums.
  • Capture and track executive actions, decisions, commitments, and follow-up items through closure.
  • Facilitate meetings, coordinate content and logistics, share materials, and capture appropriate notes and action items.
  • Plan and execute complex executive events requiring coordination across local and remote locations.
  • Build and maintain strong working relationships across Executive Vice Presidents, Executive Assistants, Defense Systems, customers, and key stakeholders.
  • Exercise exceptional discretion and judgment when handling confidential, proprietary, personnel, business-sensitive, and executive information.
  • Recognize organizational sensitivities and appropriately manage access, communications, and matters requiring the Vice President’s attention.
  • Independently prioritize and execute multiple concurrent assignments in a high-tempo environment while maintaining accuracy and attention to detail.
  • Adapt quickly to changing priorities, emerging requirements, and new technologies while maintaining continuity of executive operations.
  • Leverage AI and digital productivity tools, where appropriate, to improve efficiency, organization, and speed.
  • Provide administrative and operational support for special projects and initiatives as required.
  • Perform additional executive-office responsibilities in coordination with the Chief of Staff.

Basic Qualifications

  • High school diploma with a minimum of eight years of additional education and/or experience in the administrative profession, or a Bachelor’s degree with a minimum of four years of administrative professional experience.
  • Demonstrated experience supporting senior executive leadership and operating in a complex executive-office environment.
  • Proven experience managing complex executive calendars, travel arrangements, meetings, and competing priorities.
  • Demonstrated ability to anticipate needs, take initiative, exercise independent judgment, and work with minimal supervision.
  • Demonstrated ability to manage highly confidential, sensitive, and time-critical information with discretion and sound judgment.
  • Exceptional organizational skills and attention to detail, with the ability to prioritize and manage multiple concurrent requirements and deadlines.
  • Advanced proficiency with Microsoft 365, including Outlook, Word, PowerPoint, Excel, Teams, SharePoint, Concur, and related collaboration tools.
  • Experience coordinating in-person, hybrid, and remote executive meetings and video teleconferences.
  • Strong written and verbal communication skills, including the ability to interact professionally with senior executives and external stakeholders.
  • Demonstrated ability to prepare professional correspondence, reports, presentations, and executive-level materials.
  • Ability to occasionally travel as required and support occasional nonstandard work hours.

Preferred Qualifications

  • Experience providing direct administrative support to a Vice President, C-suite executive, or equivalent senior leader in a large, complex organization.
  • Demonstrated executive presence and ability to professionally represent senior leadership across all organizational levels.
  • Experience supporting multiple administrative projects, initiatives, or executive-office operations simultaneously.
  • Demonstrated ability to operate effectively within a matrixed organization and build relationships across organizational boundaries.
  • Experience with Workday and Concur.
  • Experience leveraging AI and emerging productivity technologies to improve executive-office efficiency.
  • Ability to rapidly learn and adopt new tools, technologies, and processes.
  • Experience proofreading and editing executive correspondence, presentations, reports, and other leadership materials for accuracy, clarity, and executive readiness.
