POSITION SUMMARY

The Senior Coordinator, Student Orientation & Transition Program is responsible for the effective coordination, planning and implementation of blended Orientation and Transition Programs, delivered through a combination of digital and on-campus activities and activations, to support a smooth and successful transition for students commencing their journey with RMIT Vietnam.

The role oversees the delivery of inclusive, engaging and connected transition initiatives for both domestic and international students, with a strong focus on student engagement, peer connection, sense of belonging, and the delivery of coordinated support at key stages of the student journey, from pre-arrival through commencement and early-semester engagement.


The position coordinates core transition and engagement programs delivered both digitally and on campus, including Orientation, inductions and onboarding activities, How2RMIT, How2GetAhead, the RED Volunteer Program and the Buddy Program, ensuring these initiatives strengthen international–domestic student connection and contribute to a cohesive, integrated student experience.

The role provides operational leadership to a small team and works collaboratively with academic schools and service departments, influencing participation, aligning priorities and managing dependencies to deliver high-quality, student-centred transition experiences aligned with RMIT’s values and priorities.

KEY ACCOUNTABILITIES

Orientation & Transition Program Coordination

  • Coordinate the planning and delivery of a comprehensive, blended Orientation and Transition Program, incorporating digital platforms, online content, in-person events and on-campus activations.

  • Ensure programs support students’ academic preparedness, wellbeing, social integration and understanding of RMIT systems, expectations and culture.

  • Deliver coordinated transition initiatives that foster belonging and sustained engagement across key early stages of the student lifecycle.

Core Programs Oversight

  • Oversee the planning, coordination and delivery of key transition and engagement programs, including Orientation events, Inductions and onboarding activities, How2RMIT, How2GetAhead, RED Volunteer Program, Buddy Program.

  • Ensure these programs promote peer connection, leadership development, cross-cultural engagement and international–domestic student connection.

  • Ensure consistency, accessibility and quality of experience across both online and physical touchpoints.

Planning, Operational Readiness & Risk Management

  • Ensure operational readiness for all orientation and transition programs through detailed planning, coordination and validation of logistics, systems, staffing, resources and stakeholder dependencies.

  • Identify, assess and manage operational, delivery and reputational risks associated with high-volume, student-facing programs and events.

  • Develop and implement contingency plans to respond to emerging risks, changes in delivery mode, stakeholder availability or external factors.

  • Coordinate clear, timely and student-focused communications across multiple channels to support effective program delivery.

Student Engagement & Sense of Belonging

  • Design and deliver initiatives that enhance student engagement, connection and inclusion across diverse cohorts.

  • Embed intentional opportunities for peer-to-peer connection, particularly between domestic and international students.

  • Support a holistic transition experience that recognises academic, social and cultural dimensions of student success at RMIT Vietnam.

Stakeholder Engagement, Influence & Alignment

  • Build and maintain strong working relationships across Student Experience & Success, academic schools and service departments.

  • Coordinate program planning with academic schools, Student Life teams and service departments, ensuring alignment with program delivery expectations and student learning needs.

  • Influence and negotiate priorities, align competing timelines and manage dependencies across multiple stakeholders contributing to orientation and transition programs.

  • Support and coordinate academic school participation in orientation, induction and transition activities, ensuring alignment with program outcomes and student expectations.

  • Act as a central coordination point to ensure clarity of roles, responsibilities and delivery commitments.

People Leadership

  • Provide day-to-day operational leadership to three direct reports.

  • Allocate work, manage priorities and support staff development and performance.

  • Foster a collaborative, inclusive and student-focused team culture.

Monitoring, Evaluation & Compliance

  • Monitor participation, student feedback and experience insights to assess the effectiveness of orientation and transition initiatives.

  • Prepare reports and recommendations to support continuous improvement and service enhancement.

  • Ensure compliance with TEQSA requirements and RMIT Vietnam policies and procedures, including health and safety, event management, brand, risk and student conduct requirements.

  • Maintain appropriate documentation, approvals and reporting to support governance, assurance and audit requirements.

  • Support RMIT brand and community engagement objectives in partnership with internal and external stakeholders as appropriate.

  • Perform other duties as directed by the Senior Manager, Student Engagement and Development or the Associate Director, Student Experience and Success.

KEY SELECTION CRITERIA

  • A relevant bachelor’s degree in Education, Business or related field or equivalent

  • At least 3 years of experience in a similar position with focus on planning, programming and implementation of programs/events especially for university students

  • Demonstrated experience coordinating student transition, engagement or large-scale events-based programs in a tertiary education or similar environment.

  • Sound understanding of student transition, engagement and belonging across the student lifecycle.

  • Demonstrated experience working in complex, multi-stakeholder environments, including across academic and professional boundaries.

  • Proven ability to influence outcomes without formal authority, including negotiating priorities, aligning competing timelines and managing dependencies.

  • Experience planning and delivering programs involving diverse student cohorts, including international and domestic students.

  • Demonstrated experience supervising or coordinating staff.

  • Strong organisational skills with the ability to manage multiple priorities, peak delivery periods and deadlines.

  • Well-developed verbal and written communication skills.

  • Commitment to inclusive, student-centred practice and continuous improvement.

  • Experience delivering orientation, first-year or peer-based engagement programs.

  • Experience overseeing volunteer or peer mentoring programs.

  • Familiarity with international student transition and cross-cultural engagement in a higher education context.
