General Statement of Job
Under direct supervision, is responsible for preparing and maintaining vital records; issuing birth certificates, death certificates, and marriage licenses; scanning legal documents; performing data entry; certifying official documents; making copies; answering questions; and performing other related duties as required.
Specific Duties and Responsibilities
- Assists with inputting and updating vital records.
- Issues plain and certified copies of records; and issues certificates
- Examines documents to be scanned for legibility and sufficient recording and indexing information.
- Creates and sends reports to various entities with prescribed timeframes.
- Scans documents and monitors screen image to ensure proper recording.
- Performs quality assurance on scanned documents.
- Answers questions in person, email and by telephone, responds to inquiries, and refers calls to other departments as appropriate.
- Performs data entry including cashiering receipts and cost bills.
- Processes incoming and outgoing mail
- Performs related duties as required.
Minimum Training and Experience
- Bilingual Preferred (fluent in both English and Spanish)
- High School or a General Education Development (GED) certificate and two (2) years general office experience or additional education in a related field may be substituted for experience, or an equivalent combination of education and experience.
- Knowledge of basic office procedures; knowledge of alphabetical and numeric file systems; knowledge of basic legal terminology; knowledge of judicial procedures; and knowledge of records management
- Skill in operating a personal computer, scanning equipment, and basic office equipment.
- Ability to accurately enter data; ability to communicate effectively, both verbally and in writing; ability to understand and follow verbal and written instructions; ability to effectively respond to customer inquiries and complaints; ability to establish and maintain effective working relationships with co-workers, other County employees, attorneys, and the public; ability to accurately collect cash; ability to perform basic mathematical calculations.
- Acts in the name of the County Clerk and shall perform all official acts as may be lawfully done and performed by such Clerk in person, pursuant to Section 82.005 of the Texas Local Government Code
- Must secure and maintain a favorable background investigation.
- Must be bondable.
- Must be able to move/lift items up to 25 pounds; prolong sitting, some walking dependent on duties.
