Description
Impact Public Schools is seeking an Operations Associate to provide general administrative, data, and operational support to our network home office and school sites. This role partners with departments across the organization to ensure compliance, maintain clean data systems, support student enrollment, and oversee meal program compliance. LOCATION: Home Office positions work at our school sites across the Seattle-Tacoma area (Tukwila, WA, South Seattle, WA, Renton, WA, Tacoma, WA, Des Moines, WA) with flexibility to work from home as approved by manager.
SALARY: $43,281-$45,930 annualized
STATUS: Temporary (4-month term with possibility of extension), non-exempt, in-person position
START DATE: Hiring happens on a rolling basis. Start date will be determined as a part of the offer process

Core Job Functions
Data & Compliance Management
- Student Information Systems (SIS): Maintain accurate student and network records in Skyward and internal data tracking sheets with strict compliance expectations for internal data management and external reporting requirements.
- Reporting Assistance: Support the collection, entry, and analysis of data required for local, state, and federal compliance reports, maintaining an exceptionally high bar for accuracy and completeness.
- Compliance & Audit Support: Assist with routine audits of new and historical student enrollment files, Special Education paperwork, and state reporting documentation.
- Data Management and Documentation for Specialized Services: Support updating trackers, databases, and SIS for student receiving specialized services, including special education, multilingual learning, highly capable, Title I, and learning assistance program, and drafting related documentation or communications for families.
Meal Compliance
- Eligibility Status Management: Manage meal eligibility status for families by reviewing Child Nutrition Eligibility & Education Benefit (CNEEB) Application responses and regularly running direct certification.
- Family Notifications: Draft and send out meal eligibility status letters to families in a timely and clear manner.
- Meal Data Verification: Review meal data in our MealTime systems to verify accuracy and resolve discrepancies.
- On-Site Meal Service Observation: Observe meal service at our school sites to ensure compliance with network and state nutrition guidelines.
Home Office & School Operations Support
- On-Site Operational Support: Provide hands-on assistance to school-based operations teams during peak times, including front desk coverage, meals coordination, and facilities support.
- Operations Communications: Co-manage the central operations inbox, addressing general inquiries promptly and routing requests to appropriate network stakeholders.
Enrollment & Student Onboarding
- Needs & Data Review: Review the data and anticipated needs of new students to ensure a seamless onboarding experience.
- Records Request Logistics: Request student records from previous districts and follow up to ensure complete academic and health files are received.
- Enrollment Processing: Assist families with completing registration paperwork, verifying data accuracy, and processing incoming enrollment submissions.
Other duties as assigned.
Required Qualifications
- 1+ years of experience in data entry, customer service, or administrative operations.
- Proficiency with Google Workspace (Gmail, Docs, Sheets) and Microsoft Office applications.
- Comfort navigating database systems, student information systems (e.g., Skyward), or electronic record systems.
Preferred Qualifications
- Bachelor’s degree preferred, or equivalent administrative/operations experience.
- Experience in a charter network, start-up environment, or high-performing school setting.
License / Certification
- Must have or be eligible to obtain a food handler certification
Physical Demands
- The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. This position is active and may require standing, walking, bending, kneeling, stooping, and crouching throughout the day. Frequent light lifting and carrying (less than 15 pounds) with occasional heavy lifting (up to 50 pounds). The employee must have sufficient hand, arm, and finger dexterity to operate a computer keyboard and other office equipment. Work is primarily inside but has daily responsibilities outside (exposure to sun, heat, cold, and inclement weather).
- Active role requiring local travel between school sites in the Seattle-Tacoma region.

- Must submit academic transcript upon hire.

- Must complete all required mandatory SafeSchools training modules.
