Procurement Executive | Facilities Management
What this job involves
We are seeking a detail-oriented Procurement Executive to support sourcing, purchasing, vendor management, and reporting activities within Facilities Management operations. The role requires close coordination with internal stakeholders and suppliers to ensure timely procurement, cost optimization, and seamless service delivery across multiple locations.
Key Responsibilities
Procurement & Sourcing
- Manage end-to-end Low Value Purchase (LVP) procurement activities, including obtaining competitive quotations, conducting commercial negotiations, and preparing fair-value recommendations for approval.
- Review and evaluate procurement requirements in collaboration with operational teams to ensure timely fulfillment of business needs.
- Execute RFQs/RFPs, assess vendor proposals, and select suppliers based on commercial competitiveness, service capability, and compliance requirements.
- Coordinate with stakeholders to secure approvals and ensure the timely issuance of Purchase Orders (POs).
- Track delivery schedules and service completion to ensure smooth closure of procurement requests.
Purchase Order Management
- Create and manage monthly, quarterly, and annual Purchase Orders for manpower services, maintenance contracts, and other facilities-related requirements.
- Ensure purchase orders are processed accurately and in accordance with organizational procurement policies.
- Maintain procurement documentation and records for audit and compliance purposes.
Vendor Management
- Build and maintain strong relationships with existing and prospective vendors.
- Negotiate pricing and commercial terms to drive cost efficiencies while maintaining service quality.
- Support vendor performance monitoring and continuous improvement initiatives.
Reporting & MIS
- Prepare periodic dashboards, management reports, and procurement analytics.
- Track and report procurement savings and cost optimization initiatives.
- Maintain manpower deployment records and other procurement-related databases.
- Generate ad hoc reports and insights to support business decision-making.
Rate Card & Catalog Management
- Manage procurement catalogs and rate cards within procurement systems.
- Coordinate the creation, update, and maintenance of approved pricing catalogs.
- Ensure accuracy and compliance of pricing information and procurement data.
Desired Skills & Experience
- Experience in procurement, sourcing, vendor management, or supply chain operations.
- Strong negotiation and stakeholder management skills.
- Knowledge of RFQ/RFP processes and purchase order management.
- Proficiency in procurement and ERP systems (e.g., Ariba, SAP, or similar platforms).
- Excellent analytical, reporting, and problem-solving abilities.
- Strong communication and coordination skills.
- Experience in Facilities Management, Corporate Real Estate, or Integrated Facilities Management environments is preferred.
