Staffing Supervisor

Location: Broken Arrow or Sallisaw, OK
Job Type: Full-Time

We are seeking an experienced Staffing Supervisor to lead day-to-day scheduling, dispatching, and care coordination of personal care services in a fast-paced service environment. This role is critical to ensuring timely coverage, continuity of care, and high client satisfaction while supporting field staff and maintaining compliance with Oklahoma regulations.

The ideal candidate is highly organized, solutions-oriented, and comfortable managing real-time staffing challenges while coordinating closely with caregivers, clients, and internal leadership.

Key Responsibilities

Scheduling & Dispatching

• Oversee daily, weekly, and long-term personal care staff schedules to ensure adequate coverage across all client assignments
• Manage real-time dispatching to address call-offs, emergencies, and last-minute schedule changes; ensures prompt restaffing of missed caregiver visits
• Optimize staffing efficiency while balancing employee availability, skills, and client needs
• Serve as the primary point of contact for urgent scheduling and coverage issues

Care Coordination

• Coordinate care services to ensure continuity and consistency for clients
• Communicate effectively with clients, families, and caregivers regarding schedules, changes, and service expectations
• Support care plan implementation by aligning staffing with authorized services and client preferences
• Escalate and resolve care-related issues in collaboration with clinical or management teams

Team Leadership & Support

• Supervise and support scheduling and staffing coordinators, if applicable
• Provide guidance to caregivers on scheduling procedures, timekeeping, and attendance expectations
• Promote accountability, professionalism, and timely communication across the team

Compliance & Documentation

• Maintain accurate scheduling records, service logs, and staffing documentation
• Ensure staffing practices align with Oklahoma regulations, authorization requirements, and company policies
• Support EVV compliance, payroll accuracy, and audit readiness as needed

Performance & Process Improvement

• Monitor staffing metrics, overtime, and coverage trends
• Identify opportunities to improve scheduling workflows, response times, and care coordination processes
• Partner with leadership to support operational goals and service quality initiatives

Required

• 2+ years of experience in staffing, scheduling, dispatching, or care coordination
• Strong ability to manage high-volume schedules in a fast-paced environment
• Excellent communication, problem-solving, and time-management skills
• Proficiency with scheduling software, workforce management systems, or similar tools
• Ability to handle urgent staffing situations calmly and effectively

Preferred

• Experience in sales, home care, healthcare, human services, or field-based staffing
• Familiarity with Oklahoma healthcare or human services regulations
• Prior supervisory or lead experience
• EVV, payroll, or timekeeping system experience
