POSITION DESCRIPTION

To lead this high-impact organization into its next era of operational and academic distinction, we are recruiting a visionary executive for the pivotal role of Vice President of Clinical Operations for GME and Associate Designated Institutional Official (DIO). Positioned at the dynamic intersection of clinical operations, academic governance, and institutional strategy, this leader will oversee the seamless integration of graduate medical education within our growing network of community-based clinical learning environments. The VP and Associate DIO will drive operational performance, ensure rigorous ACGME accreditation, optimize clinical workflows, and foster collaborative interprofessional environments that prioritize both exceptional patient care and learner success.

REPORTING RELATIONSHIPS

Reports directly to the Designated Institutional Official (DIO). Direct reports include the Director of Resident and Fellow Talent Acquisition, Director of GME Assessment and Evaluation, and GME Workforce Operations Training and Development Specialist and Director of Scholarly Activity.

 

ESSENTIAL JOB DUTIES AND FUNCTIONS

While living and demonstrating our Core Values, the VP of GME Operations and Associate Designated Institutional Official will:


Operational Leadership, Performance & Accountability

  • Establish clear operational expectations, performance standards, accountability structures, and measurable outcomes for Education teams and leaders.
  • Develop, monitor, and optimize operational workflows, policies, procedures, and systems to improve efficiency, consistency, service delivery, and the overall learner and faculty experience.
  • Establish and monitor key performance indicators, dashboards, and operational metrics to assess program performance, identify trends and barriers, and drive timely corrective action.
  • Identify operational risks, resource constraints, staffing needs, and process inefficiencies and develop and implement action plans to address them.
  • Ensure appropriate staffing models, workload distribution, scheduling practices, and resource allocation across the Education service line to support organizational needs and program growth.
  • Lead the development and implementation of standardized operational practices across educational programs while allowing appropriate flexibility to address program-specific needs.
  • Establish mechanisms for routine operational review, including leadership meetings, performance reviews, issue escalation, action planning, and follow-up to ensure accountability and timely resolution of identified concerns.
  • Lead strategic and operational improvement initiatives, including change management, process redesign, implementation of new programs, and expansion of educational services.

Policy Governance, Compliance & Accountability

  • Develop, implement, and maintain centralized monitoring systems to ensure that all GME residents, fellows, faculty, and Program Leadership (Program Directors, Associate Program Directors, and Core Faculty) fully understand and strictly abide by all SI, programmatic, and organizational policies and processes.
  • Direct the annual review, updating, central repository maintenance, and enterprise-wide distribution of all Sponsoring Institution and Program-Specific GME Policies and Procedures Manuals.
  • Establish mandatory orientation modules, continuous education, and auditing mechanisms to ensure complete compliance with institutional governance, accreditation requirements, risk management, HIPAA, CFR42, and due process protocols.
  • Enforce institutional standards regarding grievance policies, non-punitive event reporting, duty hour limits, due process, and mistreatment prevention across all clinical learning venues.
  • Collaborate with Program Directors and department leaders to address and remediate non-compliance with operational procedures or institutional policies.

Operational Integration, Alignment & Special Initiatives

  • Responsible for ensuring that educational programming and team members are in sync and in daily coordination with clinical learning environment leaders and clinical delivery team members to ensure seamless integration of educational and clinical activities.
  • Stay current and advise on emerging issues and trends in higher education, health education, healthcare, GME, UME, IPE, and professional learner experiences.
  • Collaborate with program directors and program managers to ensure the clinical assignments of FTEs in accordance with affiliation agreements.
  • Monitor the well-being of the sponsoring institution's faculty, residents, and fellows in support to and in coordination with the DIO.
  • Lead and participate in all educational special initiatives at the Wright Center.

GME Financial & Operational Management

  • Lead the monthly scheduling reconciliation and FTE cost center reconciliation process to optimize THCGME, CMS, and VA cost center accountability.
  • Direct operational and budgetary execution for GME programs in collaboration with the DIO, Grants Department, and Finance, ensuring financial transparency around Direct and Indirect Graduate Medical Education (DGME/IME) expenditures.
  • Oversee the annual review of resident stipends, benefits, and funding models to ensure fair, competitive, and compliant compensation structures.
  • Manage master affiliation agreements, programmatic contracts, and external operational consultants.
  • Maintain operational scorecards and dashboards to monitor GME workflow efficiency, policy compliance rates, and financial performance.
  • Responsible for maintaining and timely updating of Enterprise Balanced Score Card metrics, as it pertains to the academic Affairs department.

Accreditation, Compliance & Regulatory Governance

  • Manage operational oversight of ACGME institutional and program accreditation, including WebADS tracking, monitoring Program Evaluation Committee outcomes, and managing evaluation exception reports.
  • Lead the operational preparation of the Annual Institutional Review (AIR) and prepare executive summaries for governing boards and affiliate institutions.
  • Maintain operational readiness for structured internal review of clinical learning environments.
  • Administer operational procedures for special reviews, institutional grievances, due process, risk management policies, and all required accreditation policies.

Learner Lifecycle & Administrative Operations

  • Direct the operational execution of resident and fellow recruitment, interviewing logistics, and onboarding in coordination with Talent Acquisition and Program Directors.
  • Oversee the GME operations team to ensure effective administration of assignment schedules, offboarding processes, and trainee administrative support.
  • Maintain operational systems to monitor duty hours compliance and streamline trainee event reporting workflows.
  • Oversee tracking systems and databases for resident alumni engagement and workforce placement outcomes.

Requirements

  • Meet The Wright Center for Community Health and its affiliated entity The Wright Center for Graduate Medical Education EOS© People Analyzer Tool
  • Buy in and experience working in the EOS® model (strongly preferred)
  • Mission-oriented; represents the enterprise in a professional manner while demonstrating organizational pride
  • Master’s degree required.
  • Proven capability in driving organizational policy compliance, governance oversight, and accountability across medical trainees, clinical faculty, and executive leadership.
  • Ability to administer, plan, direct, coordinate and supervise medical education programming and related administrative services.
  • Previous experience in LCME, AOA, GME accreditation, curriculum development, faculty and staff development (preferred).
  • Ability to teach, mentor, develop and evaluate faculty, residents, fellows, UME and IPE learners, and staff (preferred).
  • Demonstrated expertise in GME financial management, including FTE reconciliation, CMS/THCGME cost center tracking, and contract administration.
