Job Description:
The Retirement Plan Services Operations Supervisor oversees the Retirement Plan Services Administrators and provides day-to-day leadership, workflow direction, technical oversight, and quality control for retirement plan administration. This position requires strong knowledge of qualified retirement plans, recordkeeping, compliance requirements, and people management to ensure accurate, timely, and compliant service to plan sponsors and participants.
Qualifications: This person must have a bachelor’s degree and six years of relevant experience, or the equivalent. Advanced knowledge of qualified retirement plan administration, ERISA, IRS, and Department of Labor requirements is required. Prior supervisory experience is strongly preferred. Strong communication skills and proficiency with Excel, reporting tools, databases, and retirement recordkeeping systems are essential.
Principal Responsibilities:
Lead the team and develop an atmosphere of teamwork, open communication, and unity. Provide oversight of all services offered. Actively mentor staff and ensure they are trained, evaluated, and motivated to perform their responsibilities in an effective and progressive manner.
Supervise, coach, train, and develop Retirement Plan Services Administrators; set priorities, monitor workloads, evaluate performance, and support a collaborative, accountable team environment.
Oversee daily retirement plan administration and recordkeeping activities, including contribution processing, distributions, loans, rollovers, trading activity, compliance testing, participant statements, reconciliations, and annual reporting.
Provide technical guidance and quality review for complex transactions, plan administration questions, operational issues, and participant or plan sponsor inquiries.
Ensure work is completed accurately, timely, and in compliance with ERISA, IRS, Department of Labor, internal policy, and applicable plan document requirements.
Coordinate annual Form 5500 preparation, tax reporting, participant notices, audits, compliance reviews, and related regulatory or government reporting requirements.
Support system updates, reporting needs, plan conversions or deconversions, product changes, and process improvements that strengthen service quality, efficiency, and control.
Develop, maintain, and improve department procedures, controls, documentation, and training resources for retirement plan administration activities.
Partner with internal teams, relationship managers, and plan sponsors to resolve issues, support client service, and maintain a consistent service experience.
Act in accordance with First Bank & Trust policies and procedures as set forth in the employee handbook.
Adhere to compliance procedures and participate in all required compliance training.
