Position Summary
The Short-Term Rental Manager is responsible for the overall operation, performance, and guest experience of short-term and extended-stay rental accommodations located within a multi-faceted hospitality property that also includes hotel operations.
This position oversees the day-to-day management of rental units, including reservations, guest communication, housekeeping coordination, maintenance, unit inspections, inventory, revenue performance, and overall property standards. The Short-Term Rental Manager works closely with hotel operations and other property departments to provide a consistent, high-quality hospitality experience across the property.
The ideal candidate will have previous management or supervisory experience in hotels, resorts, extended-stay properties, vacation rentals, short-term rentals, or a similar hospitality environment and possess a strong understanding of guest service and property operations.
Essential Duties & Responsibilities
Short-Term Rental Operations
- Manage the daily operations of all short-term and extended-stay rental units.
- Ensure rental units are clean, properly maintained, fully stocked, and ready for guest arrival.
- Conduct routine inspections of rental units to ensure cleanliness, condition, safety, and brand/property standards.
- Coordinate guest arrivals, departures, access instructions, special requests, and other stay-related needs.
- Monitor unit availability, out-of-order units, maintenance issues, and housekeeping status.
- Develop and maintain operating procedures for short-term rental operations.
- Ensure appropriate documentation and records are maintained for rental units and guest stays.
Reservations & Revenue Management
- Monitor reservations, occupancy, average daily rate, length of stay, cancellations, and overall rental performance.
- Assist with establishing rates based on occupancy, seasonality, special events, demand, and market conditions.
- Manage and monitor listings and availability across applicable booking platforms and direct reservation channels.
- Ensure rates, availability, minimum-night requirements, fees, policies, descriptions, and property information are accurate.
- Identify opportunities to increase occupancy, revenue, and profitability.
- Work with leadership, sales, marketing, and/or revenue management to develop promotions and strategies during lower-demand periods.
- Monitor booking trends and provide regular reports regarding rental performance.
Guest Experience
- Provide a high level of hospitality and guest service throughout the guest experience.
- Respond promptly and professionally to guest questions, concerns, complaints, and special requests.
- Resolve guest issues while balancing guest satisfaction with company policies and financial considerations.
- Follow up on guest feedback and online reviews and identify opportunities for operational improvement.
- Build processes that create a seamless experience for guests staying in rental units while maintaining consistency with the property's hotel operations.
Housekeeping & Unit Readiness
- Coordinate with housekeeping leadership and team members to ensure rental units are cleaned and inspected according to established standards.
- Monitor turnover schedules to ensure units are ready prior to guest arrival.
- Establish cleaning, inspection, and linen standards appropriate for short-term and extended-stay accommodations.
- Monitor housekeeping supplies, linens, guest amenities, kitchen supplies, and other unit inventory.
- Address recurring cleanliness or unit-readiness concerns with appropriate departments.
Maintenance & Property Condition
- Coordinate with the Maintenance Department regarding repairs, preventative maintenance, and unit improvement projects.
- Perform regular inspections and promptly report maintenance or safety concerns.
- Track maintenance requests to ensure timely completion.
- Identify units requiring repairs, replacement furnishings, deep cleaning, or capital improvements.
- Assist with protecting company assets by ensuring rental units, furnishings, appliances, and equipment are properly maintained.
Hotel & Property Coordination
- Work closely with hotel management, front desk, housekeeping, maintenance, security, sales, marketing, and other property departments.
- Coordinate shared services and amenities between hotel guests and short-term rental guests when applicable.
- Maintain consistent hospitality and service standards across hotel, extended-stay, and short-term rental operations.
- Communicate occupancy levels, arrivals, departures, special requests, VIP guests, and operational concerns with appropriate departments.
- Assist other areas of the property when operational needs require management support.
Financial & Administrative Responsibilities
- Monitor departmental expenses and identify opportunities to control costs without negatively impacting the guest experience.
- Review rental performance, occupancy, revenue, expenses, and other operational metrics.
- Assist with annual budgeting and forecasting for short-term rental operations.
- Monitor inventory levels and approve or coordinate purchasing of supplies, furnishings, linens, amenities, and equipment.
- Review invoices and expenses related to rental operations as assigned.
- Maintain accurate operational records and prepare reports for senior management.
Leadership & Team Management
- Provide leadership and direction to employees assigned to short-term rental operations.
- Assist with recruiting, interviewing, training, scheduling, coaching, and evaluating employees as applicable.
- Establish clear expectations regarding guest service, cleanliness, professionalism, productivity, and property standards.
- Promote teamwork between short-term rental operations and hotel departments.
- Address employee performance or operational concerns promptly and professionally.
- Ensure employees follow company policies, safety procedures, and established operating standards.
Requirements
QualificationsRequired
- High school diploma or equivalent.
- Previous experience in hotel, resort, extended-stay, short-term rental, vacation rental, property management, or hospitality operations.
- Previous supervisory or management experience strongly preferred.
- Strong understanding of hospitality and guest service standards.
- Excellent communication, organization, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced hospitality environment.
- Strong attention to detail and ability to maintain high cleanliness and property standards.
- Basic understanding of occupancy, rates, revenue, and hospitality performance metrics.
- Comfortable using computers, reservation systems, property management systems, and online booking platforms.
- Ability to work independently while collaborating with multiple departments.
Preferred
- 2+ years of hotel, resort, extended-stay, vacation rental, or short-term rental management experience.
- Experience managing multiple rental units or accommodations.
- Experience with hotel Property Management Systems (PMS) and/or short-term rental management software.
- Experience with online travel agencies and booking platforms such as Airbnb, Vrbo, Booking.com, Expedia, or similar platforms.
- Experience with revenue management, pricing, budgeting, and occupancy forecasting.
- Experience coordinating housekeeping and maintenance operations.
- College degree in Hospitality Management, Business Administration, Property Management, or a related field.

- Ability to work indoors and outdoors as operational needs require.
Schedule & Availability
This is a hospitality management position requiring flexibility based on property occupancy and operational needs. The Short-Term Rental Manager must be available to work a flexible schedule that may include weekends, holidays, evenings, and peak occupancy periods.The position may also require availability to respond to urgent guest or property-related matters outside of regularly scheduled hours.Performance ExpectationsSuccess in this position will be measured through factors including:
