About the Role
Cooling performance limits AI infrastructure, semiconductor equipment, photonics, power electronics, defense systems, and other high-powered compute applications. Alloy Enterprises addresses these constraints with advanced thermal management components enabled by its Stack Forging™ process, which creates single-piece, leak-tight metal parts with complex internal microgeometries for stronger cooling performance, lower pressure drop, and high reliability.
Founded in 2020, Alloy has built an industry-leading thermal management platform for data centers and mission-critical systems.
This role generally requires 4 days onsite per week.
What You'll Do
As an Administrative Assistant, you'll play a critical role in keeping our leadership team organized, efficient, and focused on delivering innovative thermal management solutions. You'll provide administrative support to our Sr. Director, Commercial Strategy, Sr. Director, Business Operations, Sr. Director, Engineering, Sr. Director, Customer Solutions, and Vice President & General Manager.
You will help manage day-to-day office operations, coordinate meetings and travel, and ensure employees and visitors have an exceptional experience.
The ideal candidate is highly organized, proactive, and adaptable in a fast-paced environment. You enjoy solving problems, anticipating needs before they arise, and bringing structure to dynamic situations. You're comfortable managing multiple priorities while maintaining professionalism, discretion, and attention to detail.

Responsibilities
• Provide administrative support to leaders and cross-functional teams.
• Coordinate calendars, meetings, conference rooms, and travel arrangements.
• Prepare meeting agendas, take notes, and track follow-up action items as needed.
• Manage office supplies, equipment, and vendor relationships to support daily operations.
• Welcome visitors and assist with office logistics and employee events.
• Process expense reports, purchase requests, invoices, and other administrative documentation.
• Maintain organized electronic and physical records while ensuring confidentiality of sensitive information.
• Assist with onboarding logistics for new employees, including workspace setup and coordination with internal departments.
• Support planning and execution of company meetings, events, and team activities.
• Contribute to continuous improvement of administrative processes and office procedures.
• Administer and maintain NDAs.
• Perform other administrative and operational duties as assigned.
Qualifications
• High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
• 2+ years of experience in an administrative, executive assistant, office coordinator, or similar support role.
• Strong organizational and time management skills with exceptional attention to detail.
• Excellent verbal and written communication skills.
• Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace.
• Ability to prioritize multiple tasks and adapt to changing business needs.
• Demonstrated professionalism and discretion when handling confidential information.
• Strong customer service mindset and collaborative approach to supporting internal teams.
Preferred Skills
• Experience supporting leaders in a manufacturing, engineering, or technology environment.
• Familiarity with office management systems and expense reporting software.
• Experience coordinating travel, events, and vendor relationships.
• Knowledge of HR or recruiting administrative processes.
• Comfortable learning new software and systems quickly.
• A proactive, self-starter mindset with the ability to work independently.
HIRING SALARY RANGE: $70,000-$83,000 (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.) This position includes a competitive benefits package. The posted salary range reflects the target compensation for this role.
