HR Operations Specialist, Trilingual

About the Position

Ormco Global Digital Design is seeking an organized and service-oriented HR Operations Specialist, Trilingual to support efficient and accurate HR service delivery within a Global Delivery Center or Shared Services environment.

This position coordinates employee requests, HR system transactions, pre-payroll inputs, internal communications, vendor activities, and other operational initiatives. The role works closely with employees, managers, HR teams, and cross-functional partners to maintain reliable processes, accurate documentation, and timely follow-up.

The successful candidate will bring a strong operations mindset, attention to detail, and the ability to manage multiple priorities in a multilingual and international environment.

Job Responsibilities

  • Manage HR service requests and employee inquiries through ServiceNow or a comparable case management platform.
  • Create, update, and monitor Workday transactions related to employee data, organizational changes, onboarding, offboarding, and other employee lifecycle activities.
  • Support pre-payroll coordination by collecting, validating, and following up on required information, documentation, and approvals.
  • Maintain accurate case notes, trackers, calendars, action logs, and operational status updates.
  • Coordinate routine HR communications, including announcements, reminders, invitations, FAQs, and post-event follow-ups.
  • Support HR procurement activities, including quotations, purchase requests, invoices, delivery tracking, and vendor coordination.
  • Collaborate with HR, Payroll, HRIS, Finance, Procurement, Facilities, Communications, and other operational partners.
  • Identify recurring issues, process gaps, delayed inputs, or exceptions and escalate them to the appropriate process owner.
  • Follow established procedures and service-level expectations while supporting continuous improvement and a positive employee experience.

Job Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, Communications, or a related field.
  • Three to five years of experience in HR Operations, People Operations, HR Shared Services, Global Delivery Centers, HR service delivery, or a related area.
  • Experience using ServiceNow or a similar case management tool to manage requests, document cases, track service levels, and escalate issues.
  • Experience using Workday for employee data maintenance, organizational updates, onboarding, offboarding, or job-related transactions.
  • Professional written and verbal proficiency in English, Spanish, and Portuguese, or another business-relevant third language.
  • Proficiency with Microsoft Office, particularly Outlook, Excel, PowerPoint, and Word.
  • Ability to manage trackers, deadlines, approvals, documentation, and multiple operational priorities with accuracy.
  • Strong organizational, customer service, stakeholder coordination, and problem-solving skills.
  • Ability to handle confidential information with discretion and sound judgment.
  • Comfortable working across countries, cultures, functions, and time zones
