Position Overview - Concenture Wealth Management in Houston, TX is seeking a Client Service Associate to provide client service, administrative, and operational support for a growing Houston-based wealth management team. This role is intentionally designed to be open to an early-career professional who is eager to learn wealth management client service to a more experienced client service professional who can independently manage account maintenance, onboarding, documentation, and recurring client service workflows.
The ideal candidate is organized, detail-oriented, service-minded, and comfortable supporting a high-touch client experience. Depending on background and experience, responsibilities may range from learning and supporting core administrative processes to independently managing more complex client service requests, custodial paperwork, onboarding coordination, CRM updates, meeting preparation, and operational follow-through. Candidates with prior wealth management, RIA, banking, investment, or financial services experience are encouraged to apply, and candidates with applicable industry licenses or advanced client service experience may be considered for expanded responsibilities.
Your Role & Responsibilities:
You will provide client service, advisor support, and operational coordination for a Houston-based wealth management practice, with responsibilities tailored to experience level and demonstrated capabilities, including but not limited to:
Client Service & Relationship Support
· Serve as a professional and responsive point of contact for routine and recurring client inquiries
· Assist clients with service needs, required forms, account-related updates, and follow-up items
· Support client onboarding by coordinating documentation, preparing account materials, and tracking next steps
· Monitor client service requests to help ensure timely, accurate, and professional follow-through
· Communicate with clients, advisors, custodians, and internal team members with discretion and a client-first mindset
· Resolve routine service items independently while escalating complex or sensitive matters to the appropriate team member
Account Maintenance & Operational Coordination
· Coordinate account opening, account maintenance, transfers, deposits, distributions, beneficiary updates, address changes, and related service requests
· Prepare, review, and submit client forms, custodial paperwork, and service-related documentation for completeness and accuracy
· Track pending items, outstanding documents, custodial requests, and operational follow-up across client workflows
· Maintain accurate client records, files, CRM notes, task updates, and documentation across firm systems
· Follow firm policies, compliance expectations, and documentation standards when handling client information and account activity
· Identify opportunities to improve accuracy, reduce errors, and keep service items moving forward efficiently
Advisor & Practice Support
· Partner with advisors and client service team members to support client meetings, service requests, and day-to-day practice needs
· Prepare client meeting materials, including agendas, reports, forms, account documents, and follow-up items
· Update client information in CRM, custodial platforms, document management systems, and internal tracking tools
· Assist with scheduling, inbox organization, task tracking, meeting follow-through, and document collection as needed
· Coordinate communication across advisors, clients, custodians, and internal departments to support timely execution
· Participate in special projects, team initiatives, process improvements, and practice-wide client service efforts as assigned
Requirements
What We’re Looking For
Required Qualifications
· 1-5+ years of experience in financial services, wealth management, investment management, or boutique RIA firm
· Experience supporting client-facing workflows, service requests, account maintenance, onboarding, documentation, scheduling, or operational follow-up
· Strong written and verbal communication skills with a polished, professional, and client-service-oriented presence
· High attention to detail when reviewing forms, updating records, tracking requests, preparing documents, and handling client information
· Ability to manage multiple priorities, deadlines, service items, and follow-up tasks with accuracy, responsiveness, and accountability
· Professional judgment and discretion when handling confidential client, financial, business, and firm information
· Organized, collaborative, and comfortable working closely with advisors, client service team members, operations teams, custodians, and clients
· Proficiency with Microsoft Office, including Outlook, Word, Excel, Teams, shared calendars, digital files, CRM updates, and general office technology
Preferred Qualifications
· Bachelor’s degree, relevant coursework, or equivalent professional background in business, finance, communications, economics, public affairs, or a related field
· Prior experience in wealth management, an RIA, banking, investment management, insurance, accounting, or another high-touch professional services environment
· Familiarity with account opening, onboarding, account maintenance, document collection, scheduling, CRM updates, or service-request workflows
· Exposure to CRM systems, custodial platforms, financial planning tools, portfolio reporting software, e-signature tools, or document management systems
· Candidates with FINRA licenses, prior custodial platform experience, or advanced wealth management client service experience may be considered for broader responsibilities, though licensure is not required for all candidates
