POSITION SPECIFICS
Auxiliary and Business Services is seeking an Events Parking Coordinator to provide essential support for the operations of the events at the Transportation Services office under the direction of the Administrative Operations Manager. The Events Parking Coordinator will support the programs and initiatives originating from Penn State University Transpiration Services Office by setting priorities, coordinating, planning, and prioritizing work for events across campus. This position will support the administrative functions of over 6,000 events that take place at the University Park Campus. These events may range in size from coordinating a group of 5 individuals to park in a facility to 100,000 people attending a home football game. The position places an emphasis on gaining and understanding various software programs specific to the Transportation Services events team including HONK mobile payments, ParkWhiz, T2 Flex, and various other parking reservation platforms. The position will implement and develop a training program for each area of the of the event parking program that includes standard operating procedures. Perform in a lead support capacity as it relates to the planning, communication, and problem solving as it relates to departmental events, summer camps, conferences, special groups, and other various events across campus that require unique coordination.
Primary Duties
Event Planning and Coordination
- Build and maintain communication networks that simplify processes and create efficiencies around events that occur on campus.
- Provide planning materials related to each event type and build upon the communication aspects of smaller events across campus.
- Recommend changes in policy and procedures
- Liaison with vendors and stakeholders that perform work directly related to events including internal and external parties.
- Inventory and Order Supplies
- Develop and implement a life cycle process for events that clearly defines how events are created, managed, billed, and communicated.
Event Workflow Management
- Responsible for the direction of work for events as it relates to creation of parking credentials, access codes, validations, rates, billing, and reconciliations.
- Lead a weekly meeting in coordination with the Event Parking Manager that relays specific pertinent information to all staff.
- Meet regularly with employees to discuss day-to-day operations, promote a positive work environment and overall objectives of assigned areas. Supervise the distribution of work among various staff in Transportation Services to ensure processes are completed in a timely manner
- Work closely to coordinate and manage work surrounding peak periods of activity.
- Ensure employees follow policies and procedures when performing various job duties related to their positions.
- Ensure processes are in place to reconcile event financials and reporting including billing, rate management, access codes, and other tasks are completed.
- Work with event parking manager, enforcement team, and supervisors to ensure the accuracy of all events on campus are being tracked and consistently supported in the same manner.
Customer Service and Satisfaction
- Delivering premier customer service to visitors of the Transportation Services office.
- Resolve issues with various students, faculty, and staff
- Receive, verify and validate information; greet visitors; obtain/provide assistance, information or refer
- Ensure pro-active communication with parking patrons regarding opportunities to improve communications
- Resolve requests, concerns, and issues diplomatically.
- Screen and direct telephone and electronic mail communications pertaining to work unit activities; act on routine requests
Training and Standard Operating Procedures
- Develop training documents that outline responsibilities related to the tasks associated with event coordination.
- Lead the onboarding process for new employees in understanding their roles and responsibilities in how the support events.
- Develop SOP for what event options are provided for parking on campus and work to ensure they meet the customer needs and the needs of the department while minimizing the impact of daily parking operations.
MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS
Associate Degree No prior relevant work experience required; previous relevant work experience accepted in lieu of education. Required Certifications: None

SALARY & BENEFITS
The salary range for this position, including all possible grades, is $44,628.00 - $64,668.00.
