What this job involves:
As a CMMS coordinator at JLL, you'll be the vital link between facility operations and data accuracy, ensuring that our Computerized Maintenance Management System serves as a reliable foundation for decision-making and operational excellence. This role requires a meticulous professional who thrives on organization, process adherence, and continuous improvement of data quality standards. You'll be responsible for the timely and accurate entry, tracking, and management of work orders, asset records, preventive maintenance schedules, and inventory transactions within the CMMS platform. What your day-to-day will look like:
Enter, update, and close work orders in the CMMS with accurate information including descriptions, priority levels, assigned resources, labor hours, materials used, and completion notes
Create and maintain asset records within the CMMS, ensuring all equipment specifications, locations, warranty information, and maintenance histories are current and complete
Generate and distribute preventive maintenance work orders according to established schedules, monitoring completion rates and following up on overdue tasks
Process inventory transactions including material receipts, issues, returns, and stock adjustments while maintaining accurate inventory records and minimum stock levels
Run standard and custom reports from the CMMS to support operations reviews, budget planning, compliance audits, and performance tracking initiatives
Coordinate with technicians, vendors, and contractors to gather missing information, clarify work order details, and ensure documentation meets quality standards
Monitor data quality metrics and conduct regular audits of CMMS records to identify and correct inconsistencies, duplicates, or incomplete information
Provide basic training and user support to team members on CMMS navigation, data entry protocols, and system functionality
Assist with special projects related to CMMS optimization, data migration, system upgrades, or process improvement initiatives
Required qualifications:
High school diploma or equivalent; associate degree in Business Administration, Information Systems, or related field preferred
Minimum 1-3 years of experience in administrative support, data entry, or facilities operations with exposure to maintenance management systems
Proficiency with CMMS platforms (e.g., Maximo, SAP, JD Edwards, eMaint, or similar systems) or demonstrated ability to quickly learn new software applications
Strong attention to detail with proven ability to maintain high levels of accuracy in data entry and record keeping
Intermediate proficiency in Microsoft Office Suite, particularly Excel for data manipulation and reporting
Excellent organizational skills and ability to manage multiple tasks with competing deadlines in a fast-paced environment
Strong written and verbal communication skills with ability to interact professionally with technicians, vendors, and management
Basic understanding of facility maintenance operations, equipment types, and work order management principles
Preferred qualifications:
Experience working specifically with enterprise CMMS platforms in commercial real estate, healthcare, education, or industrial facility environments
Familiarity with preventive maintenance programs, asset lifecycle management, and inventory control processes
Background in quality assurance, data analysis, or process improvement initiatives
Knowledge of building systems (HVAC, electrical, plumbing, life safety) and common facility maintenance terminology
Experience creating custom reports, dashboards, or queries within database or CMMS environments
Previous work in client-facing roles or third-party facility management organizations where service delivery and documentation standards were critical
