Practice Coordinator | Business Advisory

At RSM Australia, we're looking for a highly organised and proactive Practice Coordinator to join our Melbourne Business Advisory team. This is a pivotal role responsible for delivering a seamless client experience from onboarding through to offboarding, while supporting ASIC compliance, ATO administration, and the day-to-day operations of a thriving professional services team.

About the Role
As the Practice Coordinator, you'll be the central point of coordination for client onboarding, offboarding, compliance administration, and practice support activities.
Working closely with our Business Advisory team, you'll ensure clients experience a professional, efficient, and seamless journey while maintaining the accuracy of records, compliance obligations, and administrative processes.
Your responsibilities will include:
Client Onboarding & Client Administration
Managing client onboarding and offboarding processes from start to finish
Coordinating engagement documentation, client acceptance procedures, and AML/CTF requirements
Maintaining accurate client records and documentation
Liaising with clients and engagement teams to gather information and resolve outstanding matters
ASIC & Corporate Compliance
Processing ASIC annual reviews, company changes, incorporations, trust establishments, and statutory lodgements
Maintaining company registers and corporate records
Monitoring outstanding documentation, signatures, and compliance requirements
Acting as a key liaison between clients, ASIC, and internal stakeholders
ATO Administration
Supporting client linking, registrations, authority updates, and client record maintenance
Managing routine ATO correspondence and enquiries
Monitoring assessments, lodgement status, and compliance matters
Maintaining accurate records of actions and outcomes
Practice Support
Managing electronic filing and document management systems
Assisting with workflow coordination, reporting, and administrative activities
Supporting process improvement initiatives across the team
Providing responsive and professional support to both clients and colleagues
About you:
We're looking for someone who understands the pace and complexity of a public practice environment and enjoys being the person who keeps everything running smoothly.
You'll bring:
Minimum 3 years' experience within a public practice accounting or business advisory firm
Strong experience in client onboarding, client administration, and workflow coordination
Solid ASIC compliance and corporate secretarial experience
Experience with ASIC annual reviews, company changes, corporate registers, and statutory lodgements
Exposure to ATO Online Services for Agents, Client Portal, and tax lodgement systems
Experience using CAS 360 or similar corporate compliance software
Strong organisational skills with exceptional attention to detail
A proactive, solutions-focused approach and the ability to manage competing priorities
Excellent written and verbal communication skills
A genuine commitment to delivering outstanding client service
