An exciting opportunity has arisen for a HR Administrator to join Cygnet Group on a full‑time basis at our Kings Hill office in Kent (ME19 4AE) (we are also open to considering part-time).

This role will be a hands-on role supporting our busy finance team with all of their HR requirements.

Supported by our Group HR function, no prior HR experience is required however experience working in a busy office environment will be beneficial.

Please note this is a FTC for 8 months, covering Maternity Leave.

This is a hybrid role, with two days per week based in the office and three days working from home.

Purpose of role

The HR Administrator will support the Finance function by helping to deliver a consistent, high-quality people service across the team. Working closely with the Group Financial Controller, HR Business Partner and Finance managers, the role will provide administrative and coordination support across key employee lifecycle activities, including recruitment, onboarding, training, employee relations, reporting and compliance.

The postholder will act as a key point of contact between the Group Financial Controller, HR Business Partner and Finance team, supporting effective communication, accurate record keeping and the smooth delivery of people processes.

In summary, this role will support the successful delivery of the Group Financial Controller’s people priorities, ensuring managers and employees receive timely, professional and confidential support.

Summary of Responsibilities

Support the delivery and development of people processes within Finance

  • Assist the Group Financial Controller in supporting strong people management and leadership across the Finance team.

  • Support managers in applying people processes and policies consistently across the function.

  • Monitor and report on key people-related activities, including appraisals, probation reviews, inductions and the maintenance of accurate personnel records.

  • Support the Group Financial Controller with the effective management of the team, helping to ensure objectives and deadlines are met.

  • Maintain confidentiality at all times when handling employee information and sensitive matters.

Support managers with employee-related requirements

  • Provide guidance and administrative support to Finance managers to help them manage their teams effectively.

  • Provide HR administration support on an ad-hoc basis, including taking accurate minutes during employee meetings such as disciplinary and grievance meetings.

  • Coordinate recruitment, onboarding and change-of-circumstances processes, ensuring actions are completed accurately and on time.

  • Support employee wellbeing processes within the Finance function, including occupational health referrals, flexible working requests, maternity leave support and other changes in employee circumstances.

Training support

  • Monitor training requirements and completion levels, providing administrative support to ensure mandatory and role-related training remains up to date.

Support the delivery of HR services

  • Act as a key link between the HR Business Partner, Group Financial Controller and Finance function to help deliver a high-quality HR service to employees.

  • Prepare and support HR compliance reporting as required.

People reporting

  • Provide regular reports and updates to managers, highlighting upcoming deadlines and outstanding actions.

  • Follow up on key deadlines, such as appraisal completion, ensuring documentation is accurate, complete and maintained to an auditable standard.

  • Escalate any overdue actions, incomplete records or areas of concern to the appropriate manager or HR contact.
