Position Summary:
Mesabi Metallics is seeking a highly organized, detail-oriented, and dependable Paralegal & Office Administrator to support our in-house legal team and manage the day-to-day administrative operations of our Minneapolis office. In this dual-focus role, you will be an essential partner to in-house counsel, assisting with commercial contract administration, corporate record-keeping, and document review while ensuring seamless office management. The ideal candidate thrives in a fast-paced corporate environment, brings exceptional organizational rigor to digital records and compliance deadlines, and handles proprietary and privileged information with absolute discretion.

Job Responsibilities:
1. In-House Legal Operations & Paralegal Support
  • Contract Administration & Review: Assist counsel with drafting, proofreading, redlining, and formatting commercial agreements, amendments, procurement contracts, and nondisclosure agreements (NDAs); manage signature routing and execution tracking.
  • Document & Matter Management: Maintain, organize, and structure the company’s digital legal repository (SharePoint/cloud document libraries), enforcing standard naming conventions, version control, and metadata tagging across contracts and corporate matters.
  • Corporate Governance & Entity Management: Maintain corporate books, resolutions, board minutes, certificates of authority, and regulatory filings; assist with tracking entity compliance and reporting obligations.
  • Legal Research & Discovery Support: Perform factual inquiries, basic legal research, and regulatory and court document retrieval; assist counsel with document collections, litigation hold notices, and discovery responses when necessary.
  • Privilege & Confidentiality: Protect attorney-client privileged communications and sensitive commercial data with uncompromised integrity and discretion.

2. Office Administration & Executive Support
  • Office & Vendor Operations: Manage day-to-day administrative functions of the office, serving as the point of contact for office vendors, supply inventory, facility needs, and incoming/outgoing mail and deliveries.
  • Calendar & Deadline Coordination: Maintain legal department calendars, track statutory, contractual, and regulatory deadlines, and coordinate schedules across internal business teams and external counsel.
  • Meeting & Presentation Preparation: Organize legal meetings, prepare agendas, compile briefing binders and presentations, take accurate meeting minutes, and track action items to completion.
  • Travel & Billing Coordination: Arrange travel itineraries and logistics for the legal team; review, code, and track outside counsel legal invoices and departmental expenses.
Skills and Qualifications:
Core Competencies:
  • Proven experience as a Paralegal or Executive Assistant or similar role, preferably in an in-house legal environment.
  • Excellent organizational and time-management skills.

  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.

  • Flexibility and adaptability in a fast-paced environment.
Technical Proficiency:
  • Advanced command of Microsoft 365 (Word styles/cross-referencing/redlines, Excel, PowerPoint, Outlook, and Teams).
  • Strong proficiency with Microsoft SharePoint and cloud-based file management systems (e.g., configuring folders, metadata, and permissions).
Experience with e-signature platforms (e.g., DocuSign, Adobe Sign) and legal research or matter-management tools.

Education:
  • Bachelor’s degree or associate degree.
  • Previous experience as a paralegal or office assistant in a legal environment.
Paralegal certification or relevant legal coursework (preferred).

Salary : USD 70,000 to 90,000 + Winners Circle

Winners Circle Incentive: A bi-weekly incentive, calculated as a percentage of bi-weekly wages (base pay plus overtime) and paid in the same paycheck. It is tied to the site's production of safe, quality tonnes, measured on Safety, Quality and Tons (SQT).
  • Construction Phase (launch of the new compensation structure through September 30, 2026): paid at the 70% target level.
  • Ramp Up Phase (October 1, 2026, through March 31, 2027): calculated against achievable production targets measured by the hour.
  • Optimization Phase (from April 1, 2027): tied to bi-weekly production targets.
