Responsibilities
•Manage complex and frequently changing calendars for multiple senior executives, using sound judgment to prioritize meetings, resolve conflicts, and protect executive focus time.
•Serve as a primary point of contact and liaison between executives and internal teams, clients, senior leadership, and external stakeholders.
•Coordinate internal and external meetings, including scheduling, conference room reservations, catering, technology setup, guest access, agendas, briefing materials, and follow-up actions.
•Prepare executives for meetings by organizing agendas, background information, presentations, reports, and other relevant materials.
•Attend selected meetings, document key decisions and action items, and monitor follow-up commitments to ensure timely completion.
•Coordinate complex domestic and international travel arrangements, including detailed itineraries, accommodations, transportation, visas, and last-minute changes.
•Prepare and submit expense reports, process invoices, and monitor approvals and reimbursements.
•Draft, edit, proofread, and format executive correspondence, presentations, reports, meeting materials, and internal communications.
•Maintain department trackers, contact records, and client activity information on behalf of senior managers, ensuring accuracy and confidentiality.
•Support the planning and delivery of employee onboarding activities in coordination with relevant stakeholders.
•Independently coordinate executive and department projects, off-site meetings, special events, and cross-functional initiatives.
•Anticipate executive and departmental needs, identify potential issues, and recommend solutions before problems escalate.
•Handle confidential business, client, personnel, and organizational information with a high degree of discretion.
•International travel coordination.
•Records and document management.
•Work with HR partners for department related items including hiring, leaves, support of staff needs.
•Coordination with other EAs across the organization.

Qualifications
•Bachelor’s degree or equivalent combination of education and relevant professional experience.
•Five or more years of executive administrative experience supporting multiple senior executives, preferably within a professional services environment.
•Demonstrated ability to manage complex schedules, competing priorities, and time-sensitive assignments with limited supervision.
•Highly proactive, organized, detail-oriented, and capable of anticipating the needs of executives and stakeholders.
•Excellent written and verbal communication skills, including strong proofreading, editing, and business correspondence capabilities.
•Demonstrated professionalism and discretion when handling confidential and sensitive information.
•Strong interpersonal skills and the ability to interact effectively with clients, executives, employees, and external stakeholders at all levels.
•Ability to remain composed, flexible, and solutions-oriented in a fast-paced and frequently changing environment.
•Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and Adobe Acrobat.
•Experience coordinating Zoom, Microsoft Teams, and other video and audio conferencing platforms.
•Experience with Salesforce or another CRM platform is preferred.
•Ability to accommodate occasional schedule changes, early or late meetings, and support across multiple time zones, as business needs require.

Education
Bachelor’s degree required.
