The Program Coordinator of Sports, Ninja & Adult Leagues is a hands-on, direct-service role that develops curriculum, teaches classes, and grows participation in the YMCA’s youth sports, ninja, and adult league programs. Most of this position’s hours are spent on the gym floor leading classes, clinics, and league play.
The Program Coordinator creates fun, skill-building, and inclusive experiences for participants of all ages, supports part-time coaches and volunteers, and ensures programs run safely and in accordance with YMCA standards and risk management policies.

Role and Responsibilities
- Teach youth sports classes, clinics, camps, and ninja programs, delivering engaging, organized, and developmentally appropriate experiences that build skills, confidence, teamwork, and character.
- Develop and implement progressive, age-appropriate curriculum and lesson plans for youth sports and ninja programs, including skill progressions, learning objectives, warm-ups, drills, games, and assessments.
- Design and modify ninja obstacle courses and training activities that promote balance, agility, strength, coordination, climbing, and overall physical development for participants of varying ages and skill levels.
- Adapt instruction, activities, and equipment to meet the needs of participants with different abilities, learning styles, and experience levels.
- Build and maintain a shared library of lesson plans, coaching resources, drill guides, and course layouts to ensure consistent program delivery across instructors and coaches.
- Incorporate YMCA core values of Caring, Honesty, Respect, and Responsibility, along with sportsmanship, teamwork, and character development, into all programs and activities.
- Monitor participant progress and provide regular feedback, skill updates, and program highlights to participants and families.
- Evaluate and enhance curriculum and program offerings based on participant outcomes, family feedback, instructor input, and industry best practices.
- Organize and administer adult sports leagues and drop-in programs, including registration, team placement, scheduling, standings, and participant communications.
- Officiate, score keep, supervise, or coordinate league activities as needed to ensure safe, organized, and enjoyable competition.
- Address participant questions, concerns, and conflicts professionally, escalating issues to program leadership when appropriate.
- Promote participant engagement, enrollment growth, and retention by delivering outstanding program experiences and fostering positive relationships with members and families.
- Recommend and assist in the development of new classes, clinics, camps, leagues, events, skill levels, and program formats based on member interests and community needs.
- Support promotional initiatives, including open houses, trial classes, competitions, demonstration events, tournaments, and community outreach programs.
- Collaborate with marketing and membership teams to develop program descriptions, promotional materials, social media content, and participant communications.
- Track and report on enrollment, attendance, waitlists, participant feedback, and program performance metrics, and provide recommendations for continuous improvement.
- Coordinate program schedules, facility usage, gym and field allocations, and equipment needs with program leadership and other YMCA departments.
- Recruit, train, mentor, and support part-time coaches, instructors, and volunteers to ensure high-quality instruction and positive participant experiences.
- Maintain accurate participant records, rosters, attendance logs, and program documentation within YMCA systems.
- Set up, inspect, maintain, and store sports and ninja equipment; monitor inventory levels and report repair, maintenance, or replacement needs.
- Communicate effectively with participants, families, volunteers, and staff regarding schedules, cancellations, events, program updates, and participant expectations.
- Follow YMCA policies, risk management standards, child protection policies, and all safety procedures.
- Conduct routine safety inspections of equipment, mats, obstacles, playing surfaces, and program areas to ensure a safe environment for participants and staff.
- Ensure proper supervision, spotting techniques, and age-appropriate skill progressions in all sports and ninja activities.
- Respond appropriately to injuries, incidents, and emergencies, complete required documentation, and implement YMCA emergency action procedures.
- Foster a welcoming, inclusive, and supportive environment where participants of all ages, backgrounds, and abilities feel safe, respected, encouraged, and connected.
- Perform other duties as assigned to support the mission, goals, and programs of the YMCA.
