The Snapshot
You'd be joining a small, well-established Australian law firm that helps individuals, families and small to medium-sized businesses with family, immigration, property, commercial and estate matters. They pride themselves on making the law clear and practical for their clients, and on being genuinely caring and responsive.
You'll work closely with the firm's lawyers and senior paralegal, keeping the office side of things running: answering calls and client enquiries, managing diaries and files, and helping prepare the documents and correspondence that move each matter forward. It's a real seat in a small team, so your work is seen, relied on, and reviewed closely.
This role is for Philippines-based candidates, working full-time from home.
What You'll Actually Do
Clients and phone
- Answer and handle incoming phone calls, and respond to client enquiries
- Keep clients updated by email and phone (phone is a regular part of the day, alongside plenty of written communication)
- Liaise with third parties such as courts, other law firms and other parties to a matter
Admin and file management
- Manage lawyers’ diaries and schedule client appointments
- Open new matters and files, and keep records accurate and up to date
- Follow the firm’s procedures closely, including on confidentiality and record-keeping
- Use the firm’s systems day to day: Leap (the firm’s case management software), court portals, and government property and land registry portals
Supporting the lawyers
- Help draft and file legal documents
- Help draft client and third-party correspondence
- Assist with end-of-month invoicing and billing of client accounts
An honest note on the work: much of it is detailed and repetitive, and accuracy matters on every single document. A letter or form with the wrong client’s details, or a draft that hasn’t been carefully checked, creates real problems in a law firm. If you enjoy getting the details right and taking ownership of your work, you’ll do well here.
What You Need to Bring
- A high level of English, both written and spoken
- Confidence on the phone with new and existing clients, as a regular part of your day
- Excellent attention to detail and strong organisation: you check your own work before it goes to anyone else
- The ability to juggle several tasks and requests at once and prioritise sensibly
- Strong communication and people skills
- Solid working knowledge of Microsoft Word, Outlook, Excel and Teams
- Discretion with confidential and sensitive information
- A proactive, positive and professional attitude, and a real willingness to learn and grow in the legal field
- A quiet, dedicated workspace at home where you can work focused, full working hours
- Comfort with accurate time recording: the firm bills clients for time, so your timesheets need to reflect the work actually done, and Staffstream uses productivity tracking software across its team
- Previous experience in a law firm, as a legal assistant, legal secretary or paralegal
- Experience supporting an Australian law firm, since it helps to already know how Australian courts and legal documents work
- Experience with Leap or similar legal practice management software
- Experience with invoicing or billing
- Philippines-based candidates only
- Full-time, Monday to Friday, aligned with Australian business working hours
- Work from home, with equipment provided
