Summary

Willkie Farr & Gallagher LLP is looking for a Legal Personnel Coordinator based in our New York office. Willkie is an elite international law firm of approximately 1,300 lawyers located in 16 offices in six countries. 

 

The Legal Personnel Coordinator will report to the Associate Director of Lateral Recruiting and the CLE Manager and work closely with the Legal Personnel team. The Coordinator will be responsible for assisting with a range of projects from CLE coordination, including organizing in-house and client CLE programs, supporting CLE accreditation processes, and maintaining accurate CLE records, to coordination of lateral recruiting programs including sourcing and scheduling candidates and additional tasks as needed. The successful candidate will be team-oriented, self-motivated and have a strong attention to detail.

Responsibilities

  • Assist with day-to-day operations for the lateral associate recruiting efforts, including coordinating office interviews and sourcing of candidates. Assist with all facets of the lateral onboarding process, including orientation, integration of new lateral hires, and execution of related training programs.
  • Assist with coordinating the firm’s in-house and client CLE training programs including scheduling, invitations, materials, speaker support, attendance tracking, technology coordination, and other day-of logistics.
  • Support the firm’s CLE accreditation processes, including by maintaining accurate CLE records and issuing CLE certificates in accordance with the applicable requirements of the firm’s four primary jurisdictions (New York, Illinois, California, and Texas).
  • Leverage AI tools to create workflows, better efficiencies and process updates. 
  • Serve as an ambassador of the Firm and New York office with all attorneys, candidates, legal services vendor and legal search firms.
  • Serve as the point of contact for all New York lateral attorney new hires.
  • Update attorney files using our HRIS system, monitor recruiting expenses, and process expense reimbursements. Assist with maintaining CLE recordings and materials in CE Manager, the firm’s training database and CLE compliance tracking software.

Qualifications

  • Bachelor’s degree required.
  • Proficiency with Microsoft Office Suite.
  • Strong organizational skills and attention to detail.
  • Strong interpersonal, written and oral communication skills with a service-oriented attitude.
  • Ability to effectively communicate in a courteous and professional manner.
  • Ability to juggle multiple assignments and adapt to changing priorities.
  • Ability to exercise discretion, good judgment, flexibility and maintain confidential information at all times.
  • Experience working with Simplicity (Law School employment communications tool), FLO, ViDesktop, our applicant tracking software, and CE Manager ideal.

ADA Requirements

  • Ability to sit at a desk most of the working day and walk short distances.
  • Needs manual dexterity, speed and accuracy in handling office equipment.
  • Ability to work efficiently and accurately in an atmosphere of frequent interruption.
  • Ability to work in close proximity to other individuals.
  • Ability to carry light objects, e.g., files, small objects and supplies a short distance.

Pay Range

USD $70,000.00 - USD $80,000.00 /Yr.

Pay Range Statement

The salary range for this role represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
