Description
This position processes legal ads with administrative functions. The responsibilities for and not limited to the legal coordinator role day-to-day activities of the department by performing functions such as ad placement, ad quotes, verifying billing rates, assist in forecasting, record keeping, correspondence; internal and external customers, ad proofing, account communication, contract and sales maintenance, and other clerical and administrative functions. Essential Functions and Duties: Provide accurate and timely placement and quotes related to the legal display and line ads. In addition, administrative assistance, account relationship, in order to maximize their time.
· Order ads and submit ad copy/layout and artwork.
· Complete paperwork, such as client information for account set up, data for client profiles, adjustments and contracts.
· Research account history including revenue information, trends and billing issues.
· Answer client phone, fax and email inquiries.
· Assist with rate referrals, product information, billing disputes, ad insertion orders and other client questions or concerns in a pro-active, positive manner.
· Investigate problems and inquiries with appropriate departments to resolve client issues and report the results to the appropriate sales executive and manager.
· Provide quality service to all accounts from the initiation of the ad, through publication and follow-up on results.
· Assist in managing and completing reports in a timely manner as requested.
· Review rates and bills as needed.
· Have a thorough understanding of procedures to schedule ads.
· Attend sales meetings and training sessions as requested to obtain essential job information.
· Actively look for ways to help you make efficient use of their sales time.
· Keep updated on changes in product or process. Assist in the organization of information and documents.
· Able to react to change productively and handle other essential tasks as assigned.
· Proficient in Word, Excel and PowerPoint.
· Cross train to handle other departmental needs.
· Other duties as assigned by management to comply with company needs.
Education, Skills and Experience:
· College degree or equivalent administrative experience required.
· Excellence in administrative support.
· Strong oral and written communication skills.
· Must have the ability to exercise independent judgment.
· Strong organizational and time management skills required.
· Excellent presentation skills, interpersonal, problem solving and customer service skills.
