Job Title: MedEd & Marketing Communication Manager — EMEA Italy & Emerging Markets
Department: Global Marketing
Reports to: Marketing Manager EMEA Italy & Emerging Markets

Position Summary:
The MedEd & Marketing Communications Manager is a hands-on operational lead responsible for the end-to-end execution of integrated medical education and marketing communications and events operations in alignment with the ZOLL EMEA operating plan. With primary geographical responsibility for Italy and secondary support for the Emerging Markets, this role drives LifeVest therapy awareness, brand visibility, and market enablement across the region.
The role partners closely with Sales, Creative Services, and cross-functional stakeholders to deliver compliant, timely, and high-quality communications and events. Beyond content and messaging, the position owns the operational backbone of medical education and marketing: contracts, budgets, sponsorships, logistics, vendor/agency management, material production  inventory, internal portal maintenance, and procedural governance.
This is a hybrid strategic–operational role with a strong emphasis on process discipline, documentation, and flawless delivery across multiple countries and stakeholders in a matrix organization.

Essential Duties and Responsibilities

1) Marketing Communications & Content Localization

•    Adapt and localize EMEA marketing collateral (promotional assets, sales tools, digital content) to local market needs, indications, claims, and compliance standards.
•    Coordinate translation and linguistic review (internal/external), ensuring clinical correctness and brand consistency across markets.
•    Manage production workflows with agencies and suppliers to deliver on-spec, on-time, on-budget assets.
•    Track asset usage and performance indicators to inform refresh, reprint, and retirement decisions.

2) Event Management (MedEd, Internal, and Congress Activities) — End-to-End Ownership
Planning & Setup

•    Build and manage event plans, timelines, and checklists; define scope and budget.
•    Identify, evaluate, and secure venues aligned with objectives, budget, and compliance.
•    Coordinate graphics and event materials with EMEA Events & Creative Services.
•    Prepare invitations (speakers/chairmen/attendees) and attendee communications.

Contracts & Compliance
•    Draft, route, execute, and archive all contracts (venues, speakers/chairmen) per procedure.
•    Ensure pre-/post-event compliance (eligibility checks, declarations, KOL tracking).
•    Maintain complete, audit-ready files and adhere to archiving standards.

Logistics & On-Site Execution
•    Manage participant coordination, including travel and accommodations when applicable.
•    Coordinate booth/stand setup and dismantling; supervise vendors and agencies on-site.
•    Provide on-site support to ensure smooth execution and risk mitigation.

Close-Out & Reporting
•    Verify deliverables, reconcile invoices, allocate costs to the correct budget lines/cost centers.
•    Produce post-event summaries (attendance, feedback, budget adherence, learnings).

Scope includes: MedEd events, sales meetings (with Marketing & Sales), sales training (with Education), and national/local congresses and scientific events.

3) Sponsorships, Contracts & Budget Oversight

•    Serve as main point of contact with event organizing secretariats.
•    Define sponsorship formats and visibility opportunities with Marketing; ensure fulfillment.
•    Create and maintain trackers for contracts, POs, invoices, accruals, and variances; proactively flag risks.
•    Ensure all agreements are executed, tracked, and archived in ContractSafe per policy.
•    Support the Marketing Manager with budget monitoring, forecasting inputs, and variance analysis.

4) Platforms, Assets & Inventory Management

•    Maintain the company e-commerce platform for marketing materials: content currency, approvals, stock levels, and supplier lead times.
•    Oversee the marketing warehouse logistics and shipping to field teams in coordination with Logistics.
•    Manage production and lifecycle of physical assets (roll-ups, banners, displays, demo units, mannequins).
•    Track utilization and country-level distribution of brochures/collateral; generate periodic usage and replenishment reports.

5) Content & Channels Governance

•    Manage and update the ZOLLNET internal portal with relevant MarCom and MedEd materials; maintain user access and deactivate inactive users per policy. Manage and maintain a central library of digital MedEd content.
•    Support corporate website management for in-scope countries (translation validation, local content review, brand/claims consistency, alignment with EMEA standards).
•    Ensure document control: versioning, approvals, retirements, and proper archiving.

6) Procedures, Compliance & Continuous Improvement

•    Define, standardize, and maintain Marketing & MedEd procedures, templates, and SOPs; ensure adoption and consistent execution.
•    Champion compliance requirements across activities; ensure audit-ready documentation at all times.
•    Implement operational dashboards, trackers, and cadence reviews.
•    Identify process gaps; lead corrective actions and continuous improvements.

7) Cross-Functional Collaboration

•    Work in concert with Sales, Business Development, Creative Services, Education, and Global Marketing to deliver cohesive, aligned, and compliant programs.
•    Support field teams with right-time, right-format materials and event enablement.
•    Build strong relationships with physicians, customers, and KOLs while upholding compliance.

8) Other Duties

•    Perform other activities as assigned by Medical Education and Marketing.

Qualifications

Education and/or Experience
•    5+ years in Marketing Communications (medical device/pharma strongly preferred). 
•    3+ years in a hands-on, field-facing marketing or events operations role. 
•    Experience with external agencies, vendors, and print/digital production workflows. 
•    Experience interacting with physicians/KOLs and managing compliant MedEd activities. 
•    Experience with contract routing/archiving systems (e.g., ContractSafe) and managing POs/invoices preferred. 
•    Experience in cardiac care or cardiovascular healthcare is a plus.

Language
•    Fluent English (written and spoken).
•    Italian strongly preferred (primary market responsibility).
•    Additional European language(s) are a plus.

Travel & Work Conditions
•    ~20% travel across EMEA (some weekends as needed).
•    Ability to support on-site event execution and occasional after-hours coordination due to multi-country scheduling.
