About The Role
Knight Frank are seeking a highly motivated and results driven Operations Coordinator to join their Energy, Sustainability & Natural Resources Department (ESNR).
This position is offered on a Part-Time basis (3 days per week)
In this role, you will be responsible for providing an effective and efficient support service; coordinating the daily operations, process and efficiencies for the Energy, Sustainability & Natural Resources department whilst also working with the Head of the team.
What you'll be doing:
Stakeholder Support
Provide proactive administrative support to the Department Head and Team Leads.
Manage complex diaries, inboxes, meetings, conference calls and appointments.
Coordinate Board meetings, strategy days and departmental events, including preparation of meeting packs.
Support the creation and delivery of presentations, reports and client-facing documents.
Arrange UK and international travel, including itineraries and travel packs.
Prepare correspondence, minutes, reports and other business documentation to a high standard.
Business & Financial Coordination
Act as a key point of contact and ambassador for the department.
Support business planning activities and departmental initiatives.
Coordinate invoicing processes, WIP reconciliation and debtor reporting.
Process expenses, supplier invoices, subscriptions and travel approvals.
Support referral tracking and general financial administration.
Team Coordination
Organise team meetings and ensure actions are tracked and completed.
Manage meeting logistics, room bookings and diary coordination.
Support onboarding, inductions, leavers and work experience placements.
Maintain training records and ensure mandatory training compliance.
Coordinate appraisal cycles, 1:1 reviews and CPD records.
Manage absence records, including annual leave and sickness.
Provide support across the wider Business Support network when required.
Operations, Compliance & Systems
Maintain departmental processes and identify opportunities to improve efficiency.
Ensure accurate client data and records are maintained across internal systems.
Support risk, compliance and audit requirements, ensuring processes are followed.
Act as an Information Security Champion within the department.
Coordinate facilities-related activities, including visitor access, office equipment and business continuity planning.
Maintain filing, document management and record-keeping systems.
Marketing, Business Development & Events
Coordinate marketing and business development activities for the team.
Support pitch production, capability statements, research documents and client presentations.
Work closely with Marketing and Business Development teams to deliver high-quality collateral.
Coordinate and support client, team and firm-wide events from planning through to delivery.
Assist with social media and internal communication activity where required.
About You:
At least 3 years' experience in an operations, team coordination, executive assistant or administrative role.
Highly organised with excellent attention to detail and the ability to manage multiple priorities.
Strong communication and stakeholder management skills.
Confident coordinating senior stakeholders and managing competing deadlines.
Proficient in Microsoft Office, including Outlook, Word, Excel and PowerPoint.
Proactive, collaborative and comfortable working in a fast-paced environment.
