Key Responsibilities:
- Serve as a first point of contact for clients by phone, email, and in person, delivering a warm, professional, and helpful experience.
- Answer, screen, and route incoming calls promptly and courteously, and follow up on client requests to ensure timely resolution.
- Address client concerns and inquiries with professionalism and empathy, resolving issues when possible.
- Track and manage active leads, ensuring each is logged, prioritized, and moved through the pipeline in a timely manner.
- Schedule appointments and coordinate meetings and conference rooms.
- Support day-to-day office operations, including mail handling and supply management.
- Enter and update information across various software platforms with accuracy and attention to detail.
- Assist team members with administrative tasks and special projects as needed.
Qualifications:
- Excellent verbal and phone communication skills with a friendly, professional demeanor.
- Strong organizational skills and the ability to manage multiple tasks and priorities.
- Proficiency with common office and business software (e.g., Microsoft Office Suite, email and calendar tools, and CRM systems), with the ability to learn new tools quickly.
- High attention to detail and a commitment to accuracy.
- Ability to work on-site in Leesburg, Virginia, five days per week.
- A team-oriented and customer-focused attitude.
- High school diploma or equivalent required; associate's or bachelor's degree a plus.
- Prior experience in a client services, receptionist, or administrative role preferred.
