Job Description

The Lead Surgical Coordinator is responsible for acting as the liaison between all Mid Atlantic Retina Surgical coordinators and the Clinical Operations Officer. Leadership, communication and time management skills will be challenged and appreciated.

 

Essential Functions

  1. Maintains open lines of communication with Surgical Coordinators by conducting weekly or bi-weekly meetings.
  2. Assists Clinical Operations Officer with policies and procedures.
  3. Provides training and support to existing and new Surgical Coordinators.
  4. Schedules all surgeries for assigned locations.
  5. Schedules any outside testing needed for patients.
  6. Completes pre-certification process for all surgeries.
  7. Assists all assigned physicians with surgical related issues.
  8. Keeps all assigned physicians up to date on start times and any issues within their schedule.
  9. Communicates with patients regarding insurance benefits, surgical co-pays and out of pocket financial responsibilities.
  10. Makes certain all surgical paperwork is completed and submitted to surgical facility.
  11. Gathers all pre-operative testing for patients and submits to surgical facility.
  12. Makes certain all cases are posted in PMS and EHR systems correctly.
  13. Assists staff with related surgery or insurance issues.
  14. Provides backup for surgical coordinators as needed.
  15. Regular and predictable on-site attendance required.
  16. Works overtime as needed.
  17. Travels as needed.
  18. All other duties as assigned.

  11. Time Management - Maintains high volume productivity level for essential functions.

 

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.

 

Physical and Cognitive Demands

The physical and cognitive demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

 

  1. This is largely a sedentary role; however, some filing may be required. This would require the ability to occasionally lift files, bend, stoop, crouch, reach, and stand on a stool as necessary.
  2. Ability to lift or move up to 15 pounds at times.
  3. Work with data by calculating and manipulating numbers, processing data on a computer, classify, record, store and retrieve information.
  4. Use words to communicate ideas, read with comprehension and explain abstract or complex ideas in more basic terms.
  5. The employee will use hands to operate equipment such as a computer mouse, show manual or finger dexterity, handle things with precision or speed, use muscular coordination and physical stamina.
  6. While performing the duties of this job, the employee is regularly required to talk, communicate verbally one to one, in front of groups, over the telephone or with a headset and in email.
  7. This position requires listening to verbal communication using a telephone or with a headset and processing the information while entering the data into a computer system, processing auditory information and responding verbally back in an appropriate manner.
  8. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus with or without corrective lenses.
  9. Ability to follow through on plans or instructions.

Required Education and Experience

  1. A high school degree
  2. A minimum of 2 years prior surgery scheduling experience in a health care facility setting.
  3. Experience with Practice Management Systems, Nextgen preferred.
  4. Familiarity with EMR systems preferred.
