Reporting directly to the Managing Director for Nigeria, you will provide comprehensive administration and executive support that enables the effective delivery of business priorities. The role combines Administration Manager and Executive Assistant responsibilities, with significant emphasis on administration operations, stakeholder coordination and practical problem-solving.
You will manage complex administrative requirements, including expatriate immigration cases, and identify alternative solutions when external service providers are unable to deliver as expected. You will also ensure that the Managing Director’s time, engagements and priorities are effectively coordinated.
Key Responsibilities:
- Manage the Managing Director’s calendar, appointments, leadership meetings, customer engagements, regional reviews and competing priorities.
- Coordinate travel arrangements, visas, expatriate immigration cases, accommodation, itineraries and expense reporting, providing practical solutions when service issues arise.
- Prepare agendas, presentations, briefing documents, executive summaries and meeting materials for leadership and business reviews.
- Track business decisions, executive priorities, milestones and action items, ensuring appropriate follow-up and timely completion.
- Coordinate communication between the Managing Director, leadership team, customers, suppliers and regional stakeholders while maintaining confidentiality.
- Organise leadership meetings, town halls, customer visits, workshops, executive visits and strategic events, including all related logistics.
- Support governance, document control, budget administration, purchase requests, supplier coordination, reporting and cross-functional business initiatives.
What We Are Looking For:
- Continuous improvement mindset: We are looking for someone who brings a thoughtful improvement mindset—curious about how work gets done and motivated to make meaningful, sustainable improvements over time.
- Hold a bachelor’s degree in Business Administration, Management, Communications or a related discipline.
- Bring at least five years of experience supporting senior executives, preferably Managing Directors, Country Managers or C-suite leaders.
- Demonstrate strong administration, organisation, stakeholder management, communication and proactive problem-solving capabilities.
- Work confidently with Microsoft Office 365, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint and Copilot.
- Handle sensitive information with discretion while managing multiple priorities and maintaining strong attention to detail.
Experience within a multinational organisation and a general understanding of shipping or logistics will be advantageous. Bilingual capability will also be considered an added advantage.
