The successful candidate assuming this dual role is responsible for overseeing the hotel's overnight operations, ensuring the accuracy of daily financial data, and providing exceptional service to guests during the overnight shift. This role requires a detail-oriented professional capable of balancing books while at other times professionally greeting guests, handling reservations, answering phone calls, and providing exceptional guest service.
Primary responsibilities for the Front Desk Agent/Night Auditor role will include but not limited to the following:
- Perform the end-of-day bookkeeping process by reconciling all revenue centers, including Food & Beverage outlets, Front Office, and retail. Verify that all credit card, cash, and room charge transactions are balanced and compliant with internal audit standards.
- Ensure guest accounts are processed, room rates are verified, and tax postings are accurate.
- Efficiently handle late-night check-ins, early-morning departures, and reservation inquiries while managing the switchboard.
- Autonomously resolve guest complaints or maintenance emergencies that occur during the night, utilizing sound judgment to escalate issues to management only when strictly necessary.
- Prepare and distribute a comprehensive Night Audit package, including the Manager’s Report, Occupancy Forecast, Revenue Summary, and No-Show reports to department heads.
- Maintain a detailed shift log through the hotel’s pass-along system to ensure seamless handovers, noting any guest requests, security concerns, or accounting discrepancies for the morning team.
- Conduct regular "walk reports" and property sweeps to ensure the building is secure.
- Monitor security cameras and serve as the lead for emergency protocols (fire alarms, power outages) during the shift.
- Perform efficient check-in and check-out procedures while warmly interacting with guests.
- Process various room reservations, including modifications, cancellations, and room assignments.
- Handle all forms of payment (cash, credit/debit cards, room charges, third-party billing) and balance daily transactions accurately.
- Respond promptly and professionally to guest inquiries, requests, and concerns in person, over the phone, and via email/chat.
- Upsell room categories, packages, and hotel facilities to maximize revenue and enhance the guest experience.
- Coordinate with Housekeeping, Engineering, Concierge, and other departments to fulfill guest requests (early check-in, late check-out, extra amenities, maintenance issues, etc.).
- Issue keys/key cards, explain hotel services, amenities, Wi-Fi access, and safety features.
- Maintain thorough knowledge of current room rates, promotions, packages, and loyalty programs.
- Support the switchboard team occasionally with managing phone calls and taking accurate messages.
- Record, deliver wake-up calls and verify delivery.
- Assist with basic concierge services including restaurant reservations, transportation arrangements, tour bookings, and local recommendations.
- Adhere to all cash-handling, compliance, and data-privacy policies.
- Perform end-of-shift duties including cash drop, shift reports, and handover notes.
Other duties may be assigned based on business needs
What are we looking for?
- Minimum of 3-4 years’ experience in both Hotel Front Desk and Night Audit required.
- Advanced working knowledge of OPERA PMS is strictly required.
- Must be proficient in Microsoft Office, particularly Excel for manual data entry and income journaling.
- Strong mathematical aptitude required.
- Mastery of oral and written English is essential.
- On-call support is occasionally required.
- A Degree or Diploma in Hospitality will be advantageous.
- Outstanding interpersonal skills with a friendly and professional demeanor required.
- Proven ability to remain calm, courteous, and solution-oriented under pressure.
- Excellent attention to detail and multitasking capabilities in a high-volume environment.
- Must be able to work a variety of shifts including early mornings, late evenings/nights, weekends, public holidays and overnight shifts (11am to 7am), shift may at times start earlier or end later.
