Overview

Ukpeaġvik Iñupiat Corporation is seeking a Director of Shareholder Services to oversee the Shareholder Services Department, provide high-level administrative support and ensure the accurate maintenance of shareholder records. This role emphasizes delivering exceptional customer service to UIC shareholders for company programs, events, and initiatives. The ideal candidate will be a proactive, detail-oriented professional with a comprehensive understanding of shareholder services and a demonstrated ability to handle sensitive information with discretion. Additionally, the Director will support the planning and execution of corporate events and efficiently manage time-sensitive projects.

Responsibilities

Essential functions will include:

 

Departmental Oversight of Shareholder Services

  • Provide guidance and leadership to the Shareholder Services Department team, fostering a collaborative and efficient work environment.
  • Train team members on department processes, tools, and compliance requirements to ensure consistent performance and professional growth.
  • Supervise, mentor, train, and develop staff
  • Inform the Vice President of Shareholder Services and Executive management of issues in a timely manner
  • Interface and collaborate with other departments and companies as necessary as it relates to successfully carrying out our shareholder services programs

Customer Service & Shareholder Support

  • Ensure department staff successfully act as the primary point of contact for shareholders, delivering exceptional customer service through daily in-person interactions, phone calls, and written communications.
  • Ensure shareholder inquiries are addressed promptly and accurately, and with efficiency and professionalism.
  • Provide notary services for shareholder documents upon request, in compliance with legal and organizational standards.
  • Help shareholders in need of medical or funeral support, ensuring compassionate and timely service.
  • Manage and oversee the processing of assistance applications, ensuring accuracy and adherence to established procedures.

Shareholder Data Management

  • Maintain regular communication with the shareholder data management consultant.
  • Accurately enter, update, and manage shareholder information within the shareholder database, ensuring attention to detail.
  • Oversee the transfer of shares and Class B stock in the database, ensuring all actions comply with Board of Directors approvals.
  • Oversee the transfer of gift of stock in the database.
  • Provide administrative support for the development and implementation of Class C stock.
  • Uphold a high level of confidentiality in handling sensitive shareholder information.
  • Ensure compliance with applicable laws and regulations, including the Alaska Native Claims Settlement Act (ANCSA) and relevant Alaska Statutes.

Annual Meeting & Shareholder Meeting Coordination

 

Lead the Shareholder Services Department team in all aspects of Annual Meeting preparation, including:

    • Supervising proxy entry and ensuring the accuracy of data processing.
    • Coordinating the distribution of mailings, such as meeting notices, proxies, and other relevant materials.
    • Overseeing the organization of shareholder registration processes for the Annual Meeting.
    • Guiding the Stock Department team in preparation for Informational Meetings.
    • Leading the Stock Department team in supporting all Shareholder events in Utqiaġvik.

Trust Distributions

  • Manage the trust distribution project, ensuring all processes are completed accurately and on schedule.
  • Possess a thorough understanding of accounting functions to effectively support trust distribution activities.

Other Duties

  • Perform additional responsibilities as assigned to support the department and organization.

Knowledge, Skills & Abilities:

  • Fluency in reading, writing, and speaking the Iñupiat language is highly preferred.
  • Excellent verbal and written communication skills, with the ability to interact effectively with diverse audiences.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
  • Detail-oriented approach to work, ensuring accuracy in data entry and document handling.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Ability to perform basic mathematical functions accurately.
  • Strong knowledge of ANCSA and relevant Alaska Statutes.
  • Demonstrated ability to maintain confidentiality in all aspects of the role.
  • Experience managing processes and procedures in an office environment.
  • Experience working within an Alaska Native Corporation is preferred.

Qualifications

Minimum Qualifications:

  • High School Diploma or equivalent is required.
  • Six (6) years of administrative and clerical experience with responsibility for administrative systems and support staff coordination.
  • Four (4) years of experience working for an Alaska Native Corporation or with Alaska Native communities and populations.
  • Two (2) years supervisory experience is required and may include some indirect supervision.

Preferred Qualifications:

  • Bachelor of Arts or Bachelor of Science degree preferred; experience of comparable value may be substituted.

Certifications:

  • Must be a Notary Public or obtain certification within six (6) months of hire. 

Physical and Mental Demands:

  • Regularly required to sit for extended periods.

  • Frequent use of hands to handle, or feel objects, tools, or controls.

  • Must be able to communicate clearly through speech and hearing.

  • Occasionally required to stand, walk, and reach with hands and arms.

  • Must be able to lift and/or move up to 20 lbs.

Working Conditions:

  • Primary work location is UIC’s corporate headquarters in Utqiaġvik, Alaska.

  • Frequent travel required to Anchorage, other areas within Alaska, and occasionally to the Lower 48.

  • Occasional visits to community events, shareholder meetings, or educational/outreach activities may occur outside of regular business hours.

  • Work is typically performed in a professional office environment.

  • Extended periods of computer use and screen time.

  • May be required to work beyond normal business hours during peak periods (e.g., audits, budgeting, board meetings).

  • Regular interaction with executive leadership, board members, subsidiaries, and external partners.

  • Must maintain confidentiality and professionalism when handling sensitive financial and corporate information.
