What You Will Do:
We are looking for a Patient Coordinator to support clinical research operations by coordinating patient recruitment, scheduling, travel, lodging, medical records, and patient communications for research study participants. This is a full-time position located in Bethesda, Maryland.
Coordinate patient recruitment, appointments, travel, lodging, transportation, medical records, and communications with patients, caregivers, clinical staff, and NIH stakeholders in Bethesda, MD.
Support quality improvement, SOP maintenance, clinic workflow enhancements, patient experience, outpatient trial conduct, and staff/resource utilization.
Troubleshoot scheduling issues, review future cases, resolve appointment conflicts, scheduling concerns, and data integrity issues.
Coordinate participant recruitment, scheduling, travel, admission, follow-up, screenings, procedures, and imaging with investigators, clinical staff, and outpatient scheduling teams.
Arrange participant travel, lodging, meal reimbursements, transportation services, appointment reminders, and travel-related communications.
Serve as a liaison for patients, caregivers, families, physicians, nurses, contractors, NIH staff, social workers, and other clinical staff supporting patient care.
Respond to patient calls and emails, prioritize and triage concerns, explain policies/procedures, and route inquiries to appropriate staff.
Maintain professional relationships with patients, caregivers, families, and medical providers.
Collect, organize, scan, upload, and maintain patient records, medical documentation, files, family contacts, and appointment documentation in EMR systems.
Create and maintain reports, spreadsheets, tracking tools, appointment databases, and centralized scheduling system updates for protocol management.
Obtain external medical records, imaging studies, pathology materials, supporting documentation, and new patient referral materials for departmental review.
What You Will Need:
Associate's degree
Minimum of ONE(1) year of related patient coordination, medical administration, healthcare operations, clinical research support, or administrative experience.
Experience coordinating patient appointments, travel arrangements, lodging, and transportation logistics.
Experience maintaining patient records, medical documentation, and filing systems.
Knowledge of clinical protocols and medical terminology.
Strong customer service and patient-facing communication skills.
Experience preparing reports, spreadsheets, and tracking tools using Microsoft Office Suite.
Ability to maintain confidentiality and handle sensitive information appropriately.
Must be able to obtain and maintain a Federal or DoD “public trust”; candidates must receive approved adjudication prior to onboarding with Guidehouse. Candidates with an active public trust or suitability are preferred.
