SUMMARY 


The facilities Coordinator is responsible for supporting the day-to-day operation, maintenance, and organization of company facilities, grounds, and infrastructure. This role performs a variety of general maintenance duties, including groundskeeping, minor building repairs, office upkeep, and coordination of company vehicle maintenance. Working closely with the Maintenance team, the facilities Coordinator helps ensure that all facilities remain safe, functional, clean, and well-maintained, providing a positive environment for employees, visitors, and guests.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: 


Facility & Grounds Maintenance

• Maintain facility grounds, including landscaping, lawn care, snow removal coordination, and seasonal cleanup. 

• Monitor walkways, parking areas, entrances, and overall exterior conditions. 

• Perform routine inspections and identify maintenance or safety concerns. 

Building & Office Support

• Perform minor repairs, including patching, painting, and basic carpentry.

• Install signage, fixtures, and assist with general office improvements.

• Support workspace setups, furniture moves, and internal reconfigurations as needed.

• Assist the HR Coordinator with in-house renovations and facility enhancement projects, particularly when coworker visits from abroad happen, meetings, and events at the North Brookfield location.

• Maintain the appearance, cleanliness, and functionality of office and common areas, ensuring a welcoming environment for employees and visitors.

Vehicle & Vendor Coordination

• Track company vehicle registrations, inspections, and maintenance schedules. 

• Coordinate routine vehicle service and maintain accurate records. 

• Coordinate external vendors (e.g., landscaping, snow removal, cleaning), including scheduling, site access, and follow-up. 

Inventory, Tracking & General Support

• Maintain inventory of maintenance supplies and organize storage areas. 

• Track work requests and communicate status updates. 

• Support the Maintenance team with general facility tasks and improvement projects.

QUALIFICATIONS

• High school diploma or equivalent required.

• Previous experience in facilities maintenance, building maintenance, or groundskeeping preferred.

• Basic knowledge of hand tools and general repair practices.

• Ability to perform minor repairs including patching, painting, and light carpentry.

• Valid driver’s license required.



EDUCATION and/or EXPERIENCE 


High School Diploma or General Education Degree (GED); or a minimum of one to three months related experience and/or training; or equivalent combination of education and experience.



LANGUAGE SKILLS 



Ability to read and comprehend simple instructions, short correspondence and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.


Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of the organization.
