JOB SUMMARY: The Administrative Assistant, Quality Assurance provides administrative support to the Quality Assurance staff in the Adult and Children’s Clinical Services Department. The position performs varied office support tasks under supervision.


ESSENTIAL DUTIES and RESPONSIBILITIES:  

  • Support ACCS programs with the Agency Continuous Quality Improvement processes, which includes: 
  1. Conduct chart reviews and consumer quality calls. 
  2. Assist with development and distribution of stakeholder satisfaction surveys. 
  3. Assist programs managers with program manual updates and editing. 
  4. Assist with tracking program submission of all required agency QA/QI activities to PPI, i.e., monthly outputs, quarterly outcomes, CQI reports etc. 
  5. Conduct research on contract agency requirements and revising department/program policies and practices as needed. 
  • Assist the Quality Assurance staff with monitoring of credentialing and privileging information, including the renewal of credentials and monitoring compliance. 
  • Conduct or assist with internal and external program audits. 
  • Manage the day-to-day operations of Medical Records.  
  1. Provide coverage for the Medication Clinic, Medical Records, and the Reception Desk at lunch or as necessary to answer the telephone, direct visitors, and check consumers in for appointments for the Medication Clinic.
  2. Sort and deliver incoming mail for 1001 Lawrence Street facility.
  3. Respond to requests and authorizations for medical records within 48 hours of receipt and scan documents within 24 hours of receiving.
  4. Adhere to all policies and procedures related to recordkeeping based on Catholic Charities, Anchor Mental Health, DBH, and COA standards. 
  5. Sort and deliver incoming mail for 1001 Lawrence Street facility.
  • Maintain adoption files.
  1. Retrieve all adoption files as requested from The Barker Foundation.
  2. Respond to all adoption inquiries from Maryland State and the Archdiocese Archivist.  
  3. Ensure files are in good condition by changing envelopes as needed and ensuring the integrity of the file folders. 
  4. Ensure all files are scanned in the electronic health record system.
  • Provide administrative support to department management. 
  • Answer the telephone in a professional and courteous manner.

  • Perform other job-related duties as assigned. 

Requirements

EDUCATION and EXPERIENCE:

  • High School Diploma/GED.
  • 3 years progressive administrative assistance experience.

SKILLS and COMPETENCIES:

  • Ability to prepare clear, concise and accurate reports, correspondence, and other job- related documents. Ability to establish and maintain cooperative working relationships. 
  • Skills in the use of computers, preferably in a PC, Windows-based operating environment including knowledge of different electronic databases.
