Position Overview

Reporting to the CUNY EDGE Deputy Director of Career Development & Experiential Learning, the Program Support Coordinator provides day-to-day administrative and operational support for the CUNY EDGE Central Office. The position assists with fiscal processes, office logistics, shared resources, meetings, training sessions, and events; provides backup administrative support for the CUNY EDGE Fellowship Program; and coordinates with HRA to follow up on routine document questions and recurring program issues. The ideal candidate is organized, responsive, detail-oriented, and comfortable coordinating with Central Office staff, campus teams, and external partners while handling confidential information appropriately.

Duties and Responsibilities

HRA Coordination and Case Resolution

· Serve as a key point of contact between CUNY EDGE campus staff and HRA for program-related questions and case issues affecting student participation, including case and roster status, incomplete or rejected forms, training-related benefits and expenses, and Fellowship Program matters.

· Participate in regular HRA coordination meetings; gather questions from campuses, track open items and HRA updates, and coordinate follow-up with the appropriate HRA units.

· Troubleshoot and help resolve issues, escalate as needed, and maintain clear documentation of inquiries, actions, and outcomes.

· Identify recurring patterns or systemic issues across students or campuses and communicate guidance, updates, and process changes to campus staff and Central Office leadership.

· Handle student records and program information with appropriate confidentiality and discretion.

Central Office Operations and Administrative Support

· Support fiscal administration, including invoices, purchase orders, requisitions, reimbursements, vendor follow-up, and related documentation.

· Maintain office supplies and inventory; coordinate orders, storage, and distribution of centrally purchased materials and resources.

· Coordinate conference rooms, guest access, food orders, materials, and technology needs for meetings, trainings, and events, in collaboration with Facilities and IT.

· Maintain contact lists, internal directories, shared files, and other program records.

· Perform other related duties as assigned in support of CUNY EDGE operations.

Fellowship Program and Student Employment Backup

· Serve as backup for key Fellowship Program administrative functions and provide coverage during staff absences or periods of high volume, including assistance with onboarding, rosters, timekeeping, and related records.

· Review timesheets for completeness and proper approval; track deadlines and follow up with campuses to resolve missing information or discrepancies affecting onboarding or payroll processing.

· Maintain accurate logs and support routine Fellowship Program reporting and communications.

Qualifications

Minimum

· High school diploma or high school equivalency and two to three years of relevant administrative, program support, or customer service experience.

· Clear and professional written and verbal communication skills.

· Ability to handle confidential and sensitive information with discretion and integrity.

· Proficiency with Microsoft Office, particularly Excel and PowerPoint, as well as virtual meeting, collaboration, and administrative systems.

Preferred

· Associate degree or some college coursework.

· Experience in higher education, student services, workforce development, or a related setting.

· Experience working with HRA or other public benefits programs, policies, procedures, or systems.

· Experience coordinating across multiple teams, campuses, agencies, vendors, or stakeholder groups.

Work Environment and Physical Requirements

· This is an 80/20 hybrid position (four days in the office), subject to change based on operational needs and CUNY Flexible Work Guidelines.

· Ability to travel to CUNY campus locations as needed.

· The role may require sitting for extended periods, using a computer and other office equipment and occasionally lifting items up to 20 pounds.

· Reasonable accommodations will be provided in accordance with RFCUNY policies.
