Job Summary: Bookoff McAndrews (BoMc) is seeking an experienced Patent Specialist with 5+ years of U.S. and foreign patent prosecution experience to join our collaborative Patent Practice team.  This position is remote.

The Patent Specialist serves as a key member of the prosecution team, partnering closely with attorneys and clients to manage domestic and international patent portfolios throughout the entire patent lifecycle—from application filing through patent issuance. This position requires exceptional organizational skills, attention to detail, sound judgment, and the ability to independently manage a high-volume docket while delivering outstanding client service.

Key Responsibilities:
  • Patent Lifecycle Management:
    • Manage U.S. and foreign patent prosecution matters from filing through issuance.
    • Oversee U.S. and foreign patent applications from filing to grant, including:
  • Prepare, review, and electronically file patent applications, responses, formal documents, and related filings through the USPTO, WIPO, and other electronic filing systems.
    • Prepare response shells and review matters for Information Disclosure Statement (IDS) requirements.
    • Review Notices of Allowance and complete issue fee and allowance checklists.
    • Prepare client reporting emails and upload correspondence to client portals, as applicable.
    • Prepare formal documents, obtain and track executed signatures, and ensure timely filing.
    • Prepare and review correspondence from foreign associates and report significant developments to clients.
    • Monitor deadlines, send client reminders, and proactively follow up on outstanding items.
    • Verify filing requirements and obtain additional information from clients as needed.
    • Respond to client inquiries and provide timely status updates on pending matters.
  • Client and Practice Support
    • Develop a strong understanding of each client's preferred procedures and reporting requirements.
    • Deliver responsive, high-quality service while maintaining strong attorney and client relationships.
    • Assist with special projects, including assignment recordation, powers of attorney, large portfolio transfers, and other practice initiatives.
    • Provide cross-coverage and support for fellow Patent Specialists as workload demands require.
  • Workflow & Quality Management:
    • Independently prioritize assignments and manage competing deadlines in a fast-paced environment.
    • Maintain a secondary docket to ensure timely completion of all assigned tasks.
    • Utilize established quality-control procedures, including detailed proofreading and standardized checklists, to ensure accuracy and consistency.
    • Coordinate closely with the docketing department regarding upcoming deadlines and filing activities.
    • Maintain electronic files in accordance with firm policies and best practices.
    • Exercise professionalism, sound judgment, and discretion when interacting with clients, attorneys, foreign associates, and colleagues.
Qualifications:
  • Minimum of five (5) years of recent U.S. patent prosecution experience in a law firm environment.
  • Thorough understanding of U.S. and international patent procedures, including the MPEP, 37 C.F.R., PCT Regulations, and foreign prosecution requirements.
  • Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and Adobe Acrobat.
  • Exceptional organizational skills with the ability to effectively manage multiple priorities and deadlines.
  • Strong written and verbal communication skills with a client-service mindset.
  • Ability to work both independently and collaboratively within a team-oriented environment.
  • Positive, proactive attitude with a commitment to continuous learning and professional development.
