POSITION SUMMARY

The Manager of Student & Family Services serves as a key leader responsible for creating a safe, welcoming, and well-organized school environment that supports both operational excellence and positive student culture. This role oversees the daily operations of the front office while leading attendance interventions, family engagement efforts, recruitment efforts, and student accountability processes.

The Manager of Student & Family Services partners closely with school leadership, teachers, students, and families to ensure the school operates efficiently while fostering a positive, inclusive, and achievement-oriented culture. This position plays a critical role in supporting student engagement, reducing chronic absenteeism, strengthening family partnerships, increasing enrollment, and maintaining systems that promote a safe and joyful learning environment.

KEY RESPONSIBILITIES

School Office Management & Operations

  • Manage the daily operations of the school office and serve as the primary point of contact for students, families, staff, and visitors.
  • Create a welcoming and customer-service-oriented environment for all stakeholders.
  • Coordinate front office systems, visitor management, phone communications, mail distribution, and office logistics.
  • Maintain office procedures, supplies, equipment, and operational systems.
  • Support school events, family engagement activities, and operational logistics.
  • Ensure compliance with campus safety protocols and visitor procedures.
  • Assist school leadership with administrative projects, communications, and operational initiatives.
  • Coordinate substitute coverage and staff support processes as assigned.
  • Maintain confidentiality of student and staff information.

Attendance & Student Engagement

  • Oversee daily attendance monitoring and intervention systems.
  • Monitor attendance trends and identify students at risk for chronic absenteeism.
  • Conduct attendance outreach and coordinate family engagement efforts related to attendance improvement.
  • Develop and implement attendance incentive programs and student engagement initiatives.
  • Maintain attendance records and documentation required for compliance purposes.
  • Partner with families to remove barriers to attendance and student participation.

Family Engagement, Recruitment & Community Partnerships

  • Serve as a primary point of contact for family concerns, questions, and support needs.
  • Build strong relationships with families to increase engagement and trust.
  • Coordinate family meetings, orientations, workshops, and school events.
  • Support student recruitment, enrollment, and retention efforts through positive family engagement.
  • Collaborate with community organizations and external partners to support student and family needs.
  • Collect and analyze family feedback to strengthen school culture and services.
  • Coordinate student recruitment and enrollment processes, including managing inquiry and application records, scheduling family meetings and school tours, supporting enrollment events, conducting outreach to prospective families, and maintaining accurate enrollment data to support achievement of school enrollment targets.

Student Services & Operational Compliance

  • Serve as the primary administrator of the Student Information System (SIS).
  • Maintain accurate student demographic, enrollment, attendance, scheduling, and program participation records.
  • Ensure cumulative files and student records are maintained in accordance with federal, state, and local requirements.
  • Process student records requests, transcripts, enrollment verifications, and transfer documentation.
  • Conduct regular audits of student records to ensure data accuracy and completeness.
  • Maintain confidentiality and security of all student records and information.
  • Lead enrollment, registration, and withdrawal processes.
  • Support emergency preparedness and student safety procedures.
  • Maintain documentation required for school compliance and audits.
  • Ensure compliance with FERPA and student confidentiality requirements.

QUALIFICATIONS

Required:

  • Bachelor's degree.
  • Three (3) or more years of experience in education, school operations, student services, behavior support, school culture, or office management.
  • Experience working directly with students and families.
  • Strong relationship-building and conflict-resolution skills.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated commitment to equity, inclusion, and culturally responsive practices.

Preferred:

  • Experience in a California public or charter school environment.
  • Experience implementing restorative practices and positive behavior intervention systems.
  • Experience with attendance intervention programs and family engagement initiatives.
  • Bilingual proficiency in a language representative of the school community.

Knowledge, Skills, and Abilities

  • Knowledge of school culture, student engagement, and behavior support practices.
  • Knowledge of restorative practices and positive behavior systems.
  • Strong interpersonal and conflict-resolution skills.
  • Ability to build trusting relationships with students and families.

  • Ability to analyze attendance and behavior data to inform interventions.
  • Excellent organizational and project management skills.
  • Ability to remain calm and solution-oriented during challenging situations.
  • Proficiency with Google Workspace, Microsoft Office, and student information systems.

LOCATION
This position is located onsite at our Hayward, San Francisco, and/or Oakland campuses.  

COMPENSATION & BENEFITS

The salary range for this role is between $70,000 -$80,000 dependent upon years of aligned experience and credentials.

If you are offered this position, your final base salary compensation will be determined based on factors such as skills, education, and/or experience. In addition to those factors, Envision Education complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
