Responsibilities

The Executive Admin Assistant provides high-quality executive and administrative support to ensure the smooth, efficient and confidential operation of a demanding leadership office environment. The role manages day-to-day administration, calendar coordination, meeting logistics, travel arrangements, correspondence, documentation and follow-up activities, enabling the leader and wider team to operate effectively and remain focused on business priorities.

  • Manage the executive calendar, schedule meetings, prioritize requests and ensure effective time management in line with business priorities.
  • Arrange and coordinate meetings, conferences, leadership visits and business events, including venue booking, agendas, logistics, materials and follow-up actions.
  • Attend selected meetings when required, prepare accurate minutes of meetings and track action items to ensure timely closure.
  • Handle internal and external correspondence, including emails, calls and official communications, ensuring professional, timely and confidential responses.
  • Prepare, consolidate and format presentations, reports, business review materials and other documents required for leadership discussions.
  • Coordinate travel arrangements, visas, accommodation, transportation and related logistics in compliance with company policies and timelines.
  • Manage Travel & Entertainment activities, expense claims, purchase requests and administrative payments in line with relevant policies and approval requirements.
  • Maintain organized records, documents, trackers and confidential files, ensuring accuracy, accessibility and compliance with internal governance standards.
  • Act as a coordination point between the leader, internal teams, external stakeholders and visitors to support smooth communication and effective follow-up.
  • Support ad hoc projects, team activities and administrative assignments as required, working independently on routine matters and escalating issues where appropriate.
  • Qualifications

    • Bachelor’s degree in Business Administration, Management, Languages or a related field.
    • Relevant experience in executive assistance, office management, administration or coordination roles.
    • Strong proficiency in Microsoft Office applications, especially Outlook, PowerPoint, Word and Excel.
    • Strong command of English and Arabic, both written and spoken.
    • Experience working in a multinational, fast-paced or highly confidential environment is preferred.
