Job Description
SUMMARY:
Reporting to the Chair of the Department of Teaching and Learning, the Subject Area Program Data Management Specialist is a full-time position in an established and well-regarded teacher education program in the P-12 subject areas that prepares middle/secondary teachers with certifications in 17 subject areas across the MSU campus (e.g., mathematics, English, foreign languages, social studies, health/PE, art, music, dance, theater, the sciences, etc.). The Specialist works closely with the program faculty, Undergraduate Program Coordinator, Graduate Program Coordinator (GPC), and Clinical Course Coordinator, and has primary responsibility for managing clerical and administrative functions specific to the subject area programs.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Oversee data management for all aspects of the program, including collecting, organizing, and analyzing current and post-graduation data.
- Organize and track the subject area program course schedule, staffing, and room assignments.
- Process the hiring, onboarding, welcoming, and orientation of subject area adjunct faculty.
- Assist with the planning and management of annual academic program events such as Clinical Orientation and the Action Research Symposium, including organizing catering; reserving rooms; managing event RSVPs and sign-in; preparing programs and folders; organizing student schedules for individual sessions; processing speaker/presenter honoraria.
- Manage the budget system to procure goods and services; arrange professional development credits for collaborating in-service teachers; and follow up with students who do not attend.
- Monitor the subject area program's web presence to ensure that it is current and accurate.
- Monitor enrollment data and provide regular updates to the program coordinators to balance course sections, hire additional instructors, and confirm instructors.
- Manage and monitor enrollment and student progress data in P12 clinical and seminar course sections; communicate with students and instructors as needed.
- Provide support for P12 accreditation and program approval activities.
- Visit clinical locations with the program coordinators for cooperating teacher information sessions and orientations.
- Process paperwork for P12 subject area preclinical placements and mentors.
- Track, schedule, and organize subject area adjunct observations.
- Organize and attend subject area GPC/UPC meetings; schedule meetings and rooms; prepare meeting materials; manage RSVPs, distribution of minutes, and meeting follow-up.
- Follow up consistently (i.e., weekly) on pending items related to scheduling, hiring, payment, reimbursement, etc.
- Perform other duties as assigned.

QUALIFICATIONS:
REQUIRED:
- Bachelor's degree in education or a related field.
- Minimum of three years of professional experience.
- Highly proficient in Microsoft Office suite, especially Excel/Google Sheets.
- Exceptional organizational and communication skills.
- Enthusiastic self-starter who can manage multiple priorities simultaneously within a dynamic higher education environment.
PREFERRED:
- Experience supporting colleagues and community and/or P-12 school partners.
